Qualifications:
Essential:
- Experience providing administrative support to senior or executive level staff
- Experience setting up and maintaining files, filing systems and document tracking systems
- Excellent written communication skills with the ability to draft, proofread and edit various correspondence, including letters, memos, reports and authority seeking documents with strong attention to detail and high degree of accuracy
- Excellent verbal communication skills with the ability to communicate effectively with the public and staff over the telephone and in person
- Proven organizational and time management skills to effectively manage tight deadlines while maintaining a high degree of accuracy
- Strong interpersonal skills and ability to work effectively with the public and staff, and build and maintain relationships with internal and external stakeholders
- Ability to handle sensitive and confidential information
- Proficiency with Microsoft Office (Word, Excel, Outlook and PowerPoint), and experience working with Activities and Issues Management System (AIMS) is required
- Ability to display initiative and work independently under mínimal supervision
Desired:
- Completion of postsecondary education in office administration
Duties:
Reporting directly to the Administrative Assistant to the Minister, this position provides highly specialized, confidential and responsible office administrative support to a Minister of the Crown and their office staff.
The primary role of this position is to provide administrative support to the Minister and staff in the day-to-day operation of a Ministerial office.
The employee in this position must have a thorough knowledge of departmental policies, procedures, legislation and a working knowledge of total government administrative procedures, as well as an abilitiy to communicate effectively and efficiently with experience in draftin, proofreading, editing and formatting a range of documents received and prepared in the Minister's office.
