The Academic Curriculum Coordinator is responsible for the coordination of the academic curriculum scheduling process.

Some Typical Duties Include:


  • In consultation with the Deans, plans and coordinates all aspects of the academic curriculum timetable scheduling process, including planning, and generating the timetable templates; building, proofing, and reviewing timetables for all academic areas; reviewing class sizes and room bookings for all courses; and ensuring workload percentages are met. Addresses any registration problems that may arise in response to faculty conflicts, sessional hiring, etc.
  • Troubleshoots scheduling issues as they arise, collaborating with stakeholders and facilitating conflict resolution.
  • Collaborates with Human Resources to ensure contract compliance and to initiate sessional posting, recommendation, and selection process. Advises of any course cancellations, additions and other changes affecting sessional contracts.
  • Manages all curriculum scheduling data in the database system (Colleague/Informer 5) to ensure maximum efficiency and generates a variety of reports as required.
  • Once registration commences, in consultation with the Dean, reviews registration numbers regularly and assesses the need to cancel/add and reassign sections to accommodate registration trends.
  • Tracks the workload of regular faculty, including workload reductions, split workloads, etc., and liaises with Human Resources and Payroll to ensure compliance with the collective agreement and appropriate payment.
  • Provides information and responds to requests from students, staff, faculty, and the public on University policies and procedures related to curriculum scheduling and administrative structure. Liaises with other departments to exchange information.
  • Supervises the Scheduling Coordinator, Community + External Bookings. Responsible for the orientation, evaluation, and development of the Scheduling Coordinator. Ensures that the employee is available to meet scheduled commitments, and authorizes work and vacation schedules, leaves of absence, overtime, and substitution. Participates in hiring, dismissal, discipline and grievance procedures and collective agreement administration.
  • Under the direction of the Manager, Operations + Analysis, coordinates and improves upon scheduling processes in collaboration with Deans and Assistant Deans, HR, Student Services, IT and Finance including registration, database management, faculty workload and payments, and HR with hiring processes.
  • Manages room inventories and capacities. Sits on the Space Committee and manages the Academic Scheduling Policy.
  • Keeps current on relevant scheduling database software enhancements.
  • Performs other related duties as required.

Required Qualifications

  • Bachelor's degree in business administration or a related field.
  • Minimum five years' direct experience in a postsecondary academic support environment, including scheduling experience.
  • Or an equivalent combination of education and experience.
  • Supervisory experience.
  • Experience with a scheduling database system (such as Colleague, Banner etc.).
  • Ability to work independently and set and adjust priorities within constantly changing circumstances.
  • Ability to establish and maintain good working relationships with students, staff, faculty, and external contacts.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to exercise tact and diplomacy, sound judgment and to observe confidentiality.
  • Strong attention to detail and the ability to analyse and problemsolve.
