  • Time Fire Administrative Assistant**The Town of Bradford West Gwillimbury offers a return to small town charm while being one of the country's fastest growing communities. We are looking for a highly motivated professional to contribute in the Fire & Emergency Services division.
Reporting to the Fire Chief, this position provides administrative support to the Fire Chief and Deputy Fire
Chief.


Duties and Responsibilities

  • Provides administrative duties such as telephone and reception services, scheduling meetings and appointments, booking meetings rooms and arranging amenities.
  • Responsible for compiling and maintaining the Fire department's volunteer payroll records based on individual calls and training attendance.
  • Maintains the Fire department's inventory and office supplies. Orders adequate amount of supplies when required.
  • Approves and issues burn permits in compliance with the Town's Open Air Burn Bylaw.
  • Creates and circulates agendas, prepares meeting minutes and maintains tracking list for Officer's meetings.
  • Receives and coordinates customer service responses. Ensures prompt followup and responds to inquiries made by service staff, council and the public.
  • Maintains the TOMRMS records management system using the Town's FileHold database in accordance with corporate policy.
  • Distributes and files various correspondence and documents as required, ensuring the confidentiality of confidential matters/records/information.
  • Assists in completing, updating and verifying all fire occurrences to ensure records are accurate in Firehouse and electronically submits to the Office of the Fire Marshal and Emergency Management
(OFMEM).

  • Assists in the preparation of operational guidelines and ensures proper documentation is maintained for all Fire Service activities, apparatus and equipment.
  • Drafts departmental correspondence, memos, letters, purchase orders, cheque requisitions, as assigned.

Key Competencies and Qualifications

  • Minimum of high school diploma with preference given to those with a postsecondary diploma in Business or Public Administration or equivalent.
  • Previous experience in municipal or public sector experience would be an asset.
  • Ability to be disciplined, work independently with good judgement and maintain a calm and professional demeanor combined with problem solving skills and discretion when handling confidential/sensitive information.
  • Excellent organizational, communication and time management skills.
  • Basic computer literacy using the following software: Microsoft Office Suite (Access, Excel, Outlook, PowerPoint, Publisher, Word), Adobe Reader, Firehouse Software, and GIS Portable).
  • Ability to promote a culture of inclusiveness and work with a diverse population of employees, participants, agencies and the public.
The position offers an hourly rate of $22.59 to $ rates) based on 28 hours per week.
