    The Receptionist & Office Assistant is a critical member of the EDW team. As the first point of contact for our esteemed visitors and callers, our receptionist plays a pivotal role in setting the tone for excellence and hospitality. We're seeking more than just a friendly attitude; we need someone whose positive attitude radiates, whose energy is contagious, and who can seamlessly multitask, effortlessly juggling a variety of duties with ease and efficiency. The Receptionist & Office Assistant reports to our Office and Human Resource Manager, within the Corporate Services department.

    RESPONSIBILITIES/FUNCTIONS

    • Greet and direct visitors in a friendly and professional manner, ensuring a high level of customer service excellence.
    • Answer, screen and forward phone calls to appropriate parties, providing information and resources to callers as needed.
    • Monitor general information inboxes, gather information and responses from the appropriate department and provide timely responses.
    • Arrange for local courier services and distribute incoming mail/parcels to appropriate departments and parties.
    • Collect, distribute, open and date-stamp mail.
    • Coordinate the booking and setup for meeting rooms and boardroom; ensuring that there is coffee/water/cups when we have external visitors and checking with the meeting organizer with respect to any food requirements.
    • Order, receive and store office and kitchen supplies and maintain an inventory list.
    • Prepare and perform bank deposits.
    • Assist with accounting administrative tasks, including entering invoices into the accounting system, following up with vendors for banking details, pulling financial reports, and more.
    • Ensure storage area and supply cupboards are kept neat and organized.
    • Handle basic IT support needs including engaging our IT service provider when needed, providing assistance with basic tech issues such as troubleshooting printers or helping visitors connect to Wi-Fi.
    • Coordinate facility maintenance: This might include submitting maintenance requests for issues like broken equipment or coordinating with cleaning staff to ensure the reception area is tidy.
    • Assist with event planning including helping to organize and set up for events EDW is hosting, such as workshops, seminars, or networking events.
    • Assisting teams by managing material distribution tasks, including coordinating the mailing of marketing materials.
    • Perform other related duties as required or assigned by the Office & HR Manager.
    • Maintain confidentiality: Ensuring that sensitive information is handled securely and following established protocols for data protection and privacy.

    KNOWLEDGE, SKILLS & ABILITIES

    • Excellent interpersonal and organizational skills.
    • Effective communication (verbal and written) skills.
    • Ability to work independently with minimal supervision.
    • Extensive knowledge and deep passion for Winnipeg.
    • Ability to perform and carry-out duties in a professional manner.
    • Ability to understand and apply administrative policies.
    • Attention to detail and the ability to follow instructions; and
    • Bilingual (French/English) communication skills are an asset.

    EDUCATION/EXPERIENCE:

    • Post secondary in Business Administration or equivalent is considered an asset.
    • 2-3 years of customer service experience is required.
    • 1-2 years of office experience is preferred; and
    • An acceptable equivalent combination of education and experience may be considered.
