Human Resources/Office Coordinator (4 Day Compressed Work Week)

Reports to:
Executive Lead, People and Culture

Compensation:
$40,000 to $45,000 plus benefits after (6) months

Hours of Work: 8:30 a.m. to 5:30 p.m., Monday through Thursday (34 hours per week)

Location:
Canadian Film Centre, 2489 Bayview Avenue, Toronto (in-person)

Responsibilities:


Human Resources Support

  • Assist with the rollout of the new HRIS system (Bamboo HR)
  • Update the HRIS employee database regularly and ensure accuracy
  • Post jobs to external websites, track and screen incoming resumes
  • Schedule job interviews and set up Zoom meetings
  • Assist HR with the onboarding and offboarding of employees
  • Update the internal telephone directory and company organizational chart as changes occur and distribute to all staff
  • Assist with the preparation of confidential employee documentation and communications
  • Assist with the preparation of service contracts for consultants
  • Track service contracts and prepare activity reports as required using Salesforce (CRM)
  • Perform filing, scanning for HR and Legal and other administrative duties as required
  • Assist with special HR projects or tasks as required
  • Update company bulletin boards in all buildings to ensure compliance with Employment Standards and Health and Safety Legislation

Office Support

  • Coordinate office activities and ensure all necessary supplies and office services are available and functioning properly
  • Research and obtain quotes for office furniture and equipment and submit them for approval;
purchase all approved items and track deliveries

  • Update office furniture and equipment inventory
  • Order office and kitchen supplies as required by employees
  • Assist IT with new employee onboarding and offboarding for laptops
  • Manage printers and deal with repairs/cartridges
  • Build and maintain relationships with key office supply vendors
  • Receive and sign for all deliveries; reconcile packing slips with items received
  • Manage office equipment leases, including copiers, postage machine
  • Arrange service calls for office equipment as required
  • Coordinate telephone moves and deal with issues
  • Arrange courier packages as required
  • Prepare monthly reports for Finance, including expenditures for: Grand & Toy, taxis. Courier packages and postage
  • Sort incoming mail, ensure proper distribution, and update the CFC cheque register
  • Refill postage machine as required
  • Organize monthly document shredding
  • Open the office daily and unload the dishwasher

Required Qualifications:


  • Human Resources Community College Diploma or Bachelor's Degree
  • Minimum one year of related office experience
  • Exceptional attention to detail and excellent proofreading skills
  • Superior judgement and ability to maintain confidentiality at all times
  • Excellent organizational and time management skills
  • Effective communication skills, written and oral
  • Able to work efficiently, both independently and as a part of a team
  • A friendly and welcoming disposition is a must
  • Serviceoriented with a teambased approach

Assets:


  • Previous experience managing or working with contracts an asset
  • Experience using Salesforce or RightSignature as an asset
