The role


Reporting to the Manager, Education Vision, and working closely with the other members of the education business unit and stakeholders, the Program Coordinator, Education Vision is responsible for coordinating key activities that contribute to the effective oversight of the Registrar's education programs.

This position actively participates and contributes to performance improvement projects and initiatives.

The Program Coordinator, Education Vision will work on project and time-based initiatives and will participate in planning, developing frameworks and related processes, procedures, workflows, and documentation.

Position responsibilities

Project Planning and Discovery

  • Actively participates in the definition, planning, scheduling, development of project plans and additional documentation.
  • Actively participates in the definition, research, development, and implementation of project processes and workflows including, without limitation, gathering input from various stakeholders, researching best practices, developing processes, procedures, workflows, job aids, and related documentation.
  • Plans and prioritizes individual/own assignments, tasks and workflow to support project deliverables and team performance measures.
Execution

  • Acts as a primary point of contact for stakeholders throughout the implementation phase, responding to inquiries, collecting required information and documentation, reviewing and providing input on documentation, organizing and facilitating meetings, troubleshooting issues and escalating to Manager and/or Project Manager as needed.
  • Works collaboratively with the Project Manager and other key stakeholders, ensuring the stakeholders are being supported and are completing activities on time.
  • Proactively monitors for, flags and escalates concerns and issues that could pose a risk to the successful implementation of the project within the established timelines and following all processes, plans, workflows.
  • Responds to inquiries and resolves issues raised and escalates as required to Manager and/or Project Manager.
  • Creates report templates, performs quality checks, consolidates reports to monitor overall project performance; identifies concerning trends and/or risk areas and escalates to Manager and/or Project Manager.
  • Schedules, organizes, and facilitates regular project meetings, virtually and in person, with stakeholders, prepares and disseminates meeting agenda and other meeting related documentation, takes meeting minutes, and ensures follow up activities are completed.
  • Documents all interactions with stakeholders and keeps documentation up to date, filed promptly and well organized.
  • Responsible for identifying and communicating opportunities for continuous improvement and innovation, and supporting the implementation of improvements to project activities such as processes, workflows, etc.
  • Provides formal status updates/reports on all work and initiatives to Manager, Education Vision.
Qualifications and experience

  • Postsecondary education in a related discipline, or commensurate experience in training & development, project management, project implementation.
  • 3+ years' experience in a similar role in a regulatory, project based, or educational environment is required.
  • Demonstrated knowledge of project management methodology.
  • Demonstrated advanced research and analysis skills.
  • Works well in a team environment, supportive, collaborative, cooperative, serviceoriented.
  • Demonstrated excellent verbal communication skills, including facilitation/presentation skills, and the ability to effectively lead virtual and inperson meetings, communicate information clearly, accurately and succinctly to both internal and external stakeholders, including varying levels of administration/manageme
