Qualifications:


  • Diploma in Office Administration required
  • Executive Administration Diploma preferred
  • Web design basics required

Skill, Ability and Experience:


  • Three years recent experience in an Administrative Assistant role preferred
  • Knowledge of medical terminology required
  • Demonstrated proficiency in MS Office (Word, Excel, PowerPoint, Outlook, Access) required
  • Proficient in web content development and updating
  • Demonstrated proficiency in the use of the Internet
  • Ability to set and balance priorities, plan, organize, execute duties, and meet multiple deadlines required
  • Highly developed critical thinking skills, decisionmaking, conceptualization, balance priorities and meets deadlines required and problem solving ability required
  • Ability to condense complex discussion into accurate, legally binding motions/minutes of corporate meetings required
  • Ability to maintain discretion and strict observance of confidentiality required
  • Recent experience in a hospital/healthcare environment preferred
  • Experience in the use and development of data bases and capable of managing content within a web portal internet/intranet preferred
  • Extensive working knowledge of hospital operations and structures, healthcare environment, governance processes, practices and structures preferred

Principal Duties:


  • Perform varied secretarial/clerical functions in a confidential manner (e.g. photocopying, filing, preparation of minutes/documents, arrange meetings, etc.)
  • Maintain content of the Professional Staff Intranet
  • Provide support for various Committees, including booking rooms and arranging for room set up and equipment
  • Take minutes for various meetings, transcribe and circulate
  • Assist with any data collection, updating databases
  • Mails out letters/correspondence, etc. for Medical Affairs
  • Organizing/assembling/ purging/filing/maintaining of files
  • Photocopying/ faxing of reports
  • Performs general administrative support duties
  • Provide support to the Director, Medical/Professional Staff Affairs
  • Provide support and coverage for the Executive Assistant in Medical Affairs as required
  • Skills in updating/designing the Professional Staff Intranet
  • Support Choosing Wisely Committee
  • Documentation for Observers
  • Other related duties as assigned
