Duties and Responsibilities

  • Responsible for Payroll functions including but not limited to:
  • Review and enter employee timecards into the system.
  • Review computed wages and correct errors to ensure accuracy.
  • Prepare wage and salary payroll to be transferred to Deluxe payroll system.
  • Maintain individual payroll records and direct deposit records and maintain confidentiality.
  • Ensure the compilation of time records.
  • Prepare, submit, and distribute biweekly payroll and yearly T4 forms.
  • Acts as a liaison to the following:
  • Payroll and human resources
  • The Company and the payroll service to ensure a smooth payroll cycle and timely transactions.
  • Compile periodic reports for payroll and special management requests.
  • Responsible for Accounts Payable functions including but not limited to:
  • Prepare and process weekly check run and manual checks when required.
  • Review, correct, update and post accounts payable in preparation of weekly check processing.
  • Prepare and code batches of invoices for data entry.
  • Receive, verify, and match invoices against purchase orders/requisitions for goods and services.
  • Enter invoices for payment and ensure all paperwork has been received.
  • Review, open. and receive purchase orders without an invoice.
  • Resolve invoice discrepancies.
  • Process debit memo and manual vouchers and ensure entry into the accounts payable system.
  • Prepare journal vouchers as necessary.
  • Monitor accounts and ensure payments are up to date.
  • Correspond with vendors and respond to inquiries.
  • Responsible for maintaining and reconciling petty cash.
  • Submit Workplace Safety and Insurance Board forms.
  • Provide back up support for Part Sales Administrator and reception (such as: phone coverage, filing, mail duties, order entry, prepare custom documents, shipping documents, commercial invoices, proformas, etc. process credit card payments and parts quotes).
  • Provide support to HR department, including performing new hire orientation, administering, and tracking completion of new hire training,
  • Use office equipment, such as multiline phone system, computer, copier, calculator, fax, etc.
  • Multitask, prioritize and maintain a high level of confidentiality.
  • Run business errands.
  • Interact and communicate with all levels of employees within the Company, as well as suppliers, customers, and peers effectively.
  • Comply with policies, procedures, standards and rules of the Company.
  • Maintain quality assurance policy consistent with ISO standards.
  • Maintain work area in a clean, orderly, and safe manner.
  • Punctual, regular, and consistent attendance.
  • Perform all other jobrelated duties as assigned.

Required Experience and Education

  • A degree in Accounting, Business, Finance or similar preferred; equivalent work experience may be considered.
  • High school diploma or equivalent
    required.
  • Minimum of 3 years in Payroll, Accounts Payable or Bookkeeping
    required.
  • Ability to read, write, and converse in English
    required.
  • Ability to handle complex projects and tasks independently within established standards.
  • Experience working with Global Ship ERP a plus.

Physical and Technical Environment

  • Minimal lifting up to 25 pounds occasionally.
  • Must be able to sit, stand, walk, reach with hands and arms, bend and stoop in a normal office environment.
  • Ability to routinely travel throughout multifloor office and shop area, walking, climbing stairs.
  • Clean and orderly manufacturing environment and/or normal office conditions.
  • Normal vision and manual dexterity for office duties.
  • Normal office environment, constant exposure to various people requesting information, routinely restricted to work station.
