Thomas' Circle of Care Inc. is a non-profit organization that was incorporated in May 2012. The organization expanded very quickly thereafter in partnership with the Ministry of Social Services due to the high demand for child support services (age range years) in southern Saskatchewan. Currently, it operates 16 homes, 15 in Regina and 1 in Moose Jaw. The number of children in care is normally between 70 and 90 at any given time. The organization's overall objective is to ensure children experience a home-like environment where they feel safe, cared for, and loved while working towards reunification with their immediate family.


Additional services the organization provides include in-home support services for families that face unique challenges with everyday activities; visitation opportunities for families looking to reunify and support services for youth that are at considerable risk in the community.


TCOC has an exciting full-time and part-time opportunity for someone that is experienced and passionate to join our team in providing childcare support to our children and contribute to their development toward becoming responsible citizens.


The Executive Administrative Assistant reports to the Executive Director and is responsible for providing a wide range of executive-level administrative support services.

Key accountabilities include effectively and efficiently coordinating the office of the Executive Director, Board meetings, and other key responsibilities; proactively anticipating business requirements and responding; accordingly, performing confidential administrative functions; researching and/or preparing draft documents on behalf of the Executive Director.


PRIMARY RESPONSIBILITIES:


  • Manages correspondence, documents, reports, and related information, prioritizing and/or routing as appropriate.
  • Prepares meeting agendas, attends meetings, and documents significant details and information for followup action.
  • Prepares and distributes Board meeting agendas and materials; takes, transcribes, and distributes minutes; ensures followup items are completed.
  • Establishes and maintains effective working relations and positive business interactions with Board Members, volunteers, tenants, team members, and community leaders.
  • Maintains wellorganized records, filing, and retrieval systems for paper and electronic documents, Board materials, etc.
  • Consistently demonstrates professionalism, confidentiality, respect for diversity, and TCOC's values.

QUALIFICATIONS:


Formal Education -
Post-secondary education from a recognized learning institution (e.g. Business Certificate, Office Education Diploma, or similar program).


Certifications/Associations -
Willing to participate in specific training as requested.


Experience -


Progressive and significant administrative experience working independently performing a wide range of administrative responsibilities and handling a variety of initiatives.

Experience working in the non-profit sector would be an asset.


Knowledge -
Knows how to establish and maintain an efficient and effective business office.


Skills -
Communication skills i.e. are articulate and can verbally communicate well with others; has excellent writing skills - spelling, grammar, and sentence structure

Excellent keyboarding skills (speed and accuracy)
