Job Summary:
This position provides administrative support for Waste Management staff and front desk reception duties at the Halton Waste Management Site (HWMS).
Duties & Responsibilities:
- Provide administrative support to staff.
- Oversee the front desk of the Administration building, including telephone duties and permitting access and providing direction and assistance to contractors and customers.
- Perform customer services duties, dealing tactfully, courteously, and professionally with each inquiry, often troubleshooting to ensure each customer's needs are accurately identified and appropriately met.
- Assist with the collection of customer revenues, ensuring the integrity of data and accuracy of financial transactions.
- Communicate with customers and external contractors to coordinate approval requirements for special waste loads.
- Administer Compass and maintain all necessary staff attendance records including overtime, sick time, and vacation.
- Coordinate and attend meetings, working groups, and workshops. Prepare agendas and minutes for distribution in an accurate and timely manner.
- Open and distribute mail.
- Maintain all related files, records, statistics, purchase requisitions, office supplies and equipment.
- Assist with Scale House operations, including use of PointofSale systems and processing financial transactions.
- Perform other duties as required.
Skills & Qualifications:
Essential
- Postsecondary education in business, office administration, or other discipline related to the position.
- Minimum of two (2) years' related office/clerical experience including reception, financial activities, and time and attendance support.
- Demonstrated initiative and attention to detail with strong organizational, communication, teamwork, and customer service skills.
- Proficiency with Microsoft Office, including Excel and Word.
Preferred
- Experience with Compass and SAP.

Working Conditions
- The HWMS operates 6 days/week. The incumbent must be prepared to work outside normal working hours on occasion based on the requirements of the operations.
- Must be able to perform all the necessary physical tasks associated with the position (e.g., bending, reaching, lifting more than 15 lbs).
Employment Conditions
- Must possess a valid class "G" Ontario driver's license.
- The incumbent will be required to drive a Region vehicle and will be required to provide a copy of their driver's licence and a driver's abstract, by their first day of employment.
