The Opportunity


This position supports the Executive office and staff with reception and administrative support while providing a professional and organized office environment.

This position requires the individual to be highly diplomatic and professional while managing constant disruptions throughout the day.

  • The incumbent maintains and troubleshoots all office equipment, maintains the office's general supplies and budget, coordinates couriers, mail, catering, and greets and directs all visitors to the Executive offices.

The Role:

Office Coordination and Collaboration:

  • Assist the Executive Assistant to President with administrative tasks as required
  • Assist the Government and Community Relations division with administrative tasks, calendar management, travel arrangements, and expense reconciliation
  • Assist the Executive Assistant to the Board of Governors with administrative tasks, organizing events, and catering
  • Maintains reception area and all common areas in a clean and tidy manner
  • Complete expense claims for the Office of the President
  • Act as a resource person for all new staff in the Executive Office
  • Organize Executive Assistant team meetings; ensure sufficient coverage during holidays
  • Identifies areas of improvement and initiates projects to enhance productivity, efficiency, and executive support SAIT information for Executive office staff
  • Booking travel, assisting with convocation, and other duties as assigned

- **Guest Interactions**:
  • Greet all visitors and guests to the Executive Office and direct them appropriately
  • Answer telephone inquiries from staff, students, and the public; transfer and assist callers as appropriate
  • Arrange parking for visitors as required

- **Office Administration**:
  • Coordination of administrative tasks such as room bookings, office supplies, and catering for executive meetings
  • Coordinate couriers as directed
  • Complete all facilities maintenance requests
  • Entry of banner requisitions

- **Health and Safety**:
  • Sits on Health and Safety Committee for the Executive Office and acts as fire warden
  • Follow all General Safety Rules, Codes of Practice, and Standard Operating Procedures captured in the SAITs Health and Safety System Manual, and actively participate and understand SAIT's Health and Safety program

Qualifications:

Minimum:


  • Grade 12 high school diploma 35 years' experience in an administrative role
    Preferred:
  • Office Administration certificate/diploma
  • Executive or C-Suite experience
  • Postsecondary experience
