What is this role?
The Assistant to the CEO may also be responsible for preparing reports, presentations, and other documents, and assisting with research and analysis on a wide range of topics.
Additionally, they may be required to liaise with other senior executives and stakeholders both internally and externally, and represent the CEO in meetings and events as necessary.
What would you be doing?
- Manage the CEO's calendar, schedule, and appointments, ensuring that all meetings and events are properly coordinated and scheduled.
- Coordinate travel arrangements, including flights, hotel bookings, and ground transportation.
- Conduct research and gather information for the CEO on various topics, including market trends, competitors, and industry developments.
- Prepare reports, presentations, and other documents for the CEO, ensuring accuracy, timeliness, and consistency.
- Assist with the organization and execution of special events and meetings, including board meetings, company retreats, and employee recognition events.
- Manage confidential and sensitive information, ensuring that all information is handled with discretion and professionalism.
- Work collaboratively with other members of the executive team and the broader organization to ensure effective communication and coordination of activities.
What do you need to qualify?
Required Education and Experience:
- Postsecondary education in Business Administration, Communications, or a related field preferred.
- 25 years of experience in a similar role, supporting senior executives in a fastpaced environment.
- Experience working in the Construction, Office Management, Real Estate, and/or Finance industries would be an asset.
- Experience working in private sector would be an asset.
Qualifications and Skills:
- Strong problemsolving skills and ability to work independently with good judgment
- Proficiency in expense tracking and financial management
- Experience in coordinating schedules and managing calendars effectively
- Excellent communication skills, both written and verbal
- Strong organizational skills for managing electronic and physical files
- Proficient in creating and editing documents, reports, and presentations using Google Docs, Word, Excel, and PowerPoint
- Ability to take accurate minutes during physical meetings
- Experience in vetting agreements and contracts
- Knowledge of logistics management, including catering, agenda preparation, travel arrangements, and project coordination
- Proficient in setting reminders and managing alerts
- Strong prioritization skills to manage tasks effectively
