The Event Assistant will play a key role in supporting the planning, coordination, and execution of events that contribute to our organization's mission.

A successful event assistant ensures event-related tasks are delivered in a professional manner in accordance with organizational goals.

The Event Assistant will work closely with the Events and Marketing Coordinator and other members of the Communications/Marketing team to ensure the successful delivery of events that provide valuable opportunities for networking and workforce development.


  • Be between 1530 years of age at the start of the funded position.
  • Be a Canadian Citizen, permanent resident, or someone to whom Refugee Status has been granted/conferred.
  • Have a valid Social Insurance Number (SIN)
  • Be available to work 35 hours/week over an 8week period (May to August)

Responsibilities will include but not be limited to:

  • With support from HIEC's event team, assist and implement strategies to be focused on and used throughout the year
  • Attend events and provide onsite support, which may include help in event setup and teardown
  • Assist in the organizing of trade shows, conferences and events; collaborate with internal teams and external partners to ensure that events align with our organization's development goals
  • Assist in the organizing, distribution, and ordering of marketing collateral and promotional items/swag
  • Provide administrative support to ensure the efficient operation of the office by helping sort, organize, and compile marketing swag and materials
  • Compile feedback from event participants and upload responses into a data system
  • Attend regular oneonone meetings, team meetings, training, and other professional development workshops as assigned
  • Work with other staff to ensure efficient and timely distribution of materials and update even information as required; develop and distribute promotional materials as required
  • Assist in the development of marketing materials, such as promotional campaigns targeted at job seekers and employers
  • Ship/transport eventrelated items
  • Assist in postevent evaluations and prepare reports on event success and areas for improvement to inform future planning
  • Assist with special projects and assignments
  • Any other duties as assigned or required

Qualifications to succeed:

  • Working towards a Bachelor's degree or diploma in event management, notforprofit management, or a related field
  • Previous experience in an eventssupported role is preferred
  • Experience in Canva is an asset
  • Knowledge and/or interest in the notforprofit sector is an asset
  • Knowledge of the event industry is preferred

  • Excellent time management skills

  • Ability to work well under pressure and meet deadlines

Working Conditions:

  • Typical working hours are 8:30 am to 4:30 pm, Monday to Friday, with some requirements to work additional hours, occasionally during evenings and weekends. It may require some flexibility to support highimpact events and programs that run from time to time
  • Travel required within Ontario or Canada for presentations, partnership meetings, conferences, etc.
  • Ability to lift and carry equipment and supplies up to 25 lbs
