- Coordinate the Vice President, Communications, Public Affairs and Marketing's agenda, i.e. schedule/coordinate meetings (internal and external), ensure meeting requirements are prepared/scheduled (attendees, meeting logistics, documentation);
- Master excellent management and planning skills.
- Organize internal and external special events.
- Be creative and enjoy working in an entrepreneurial environment focused on Bombardier's mission, results and community.
- Accomplish administrative tasks, which require a thorough comprehension of the business activities and practices.
- Coordinate meetings and appointments with the various stakeholders.
- Make her travel arrangements and prepare her expense reports, as well as provide support for her team.
- Plan yearly budget and headcount, ensure monthly followup on spending and invoice payments.
- Ensure follow up on activities and files.
- Compile and update data for various reports.
- Create and maintain uptodate databases and lists.
- Prepare and verify expense claims in accordance with company policies.
- Make decisions and recommendations within the authorized guidelines and procedures.
- Use judgment and initiative to plan and organize the assigned tasks.
- Have good knowledge of the Company's policies and programs to provide support to the team.
- Be the contact person for team members abroad.
- Write internal and external correspondence in both French and English.
- Perform other duties as assigned.
Qualifications
- You have a College Degree in administration or the equivalent and a minimum of five (5) years in a similar position with senior management.
- You possess an excellent knowledge of MS Office, Word, PowerPoint and Excel and Outlook.
- You are fluent in French and English, both verbally and in writing.
- As a team player, you are known for your dynamism, strong interpersonal relations, judgment and organization skills.
- You can manage several priorities simultaneously.
- You have a great deal of initiative and can work with minimum supervision, involving coordination and organization of work methods for the assigned duties.
- You can maintain strict confidentiality when required to do so.
- You are able to work under pressure and handle multiple priorities.
- You are a team player.
- You have a good knowledge of SAP (asset).
