The Provincial Resource Centre for Visually Impaired (PRCVI) Projects Coordinator supports the operation of the projects delivered by PRCVI - a Ministry of Education and Child Care Provincial Outreach Program hosted by the Vancouver School Board.

These projects include ARC-BC, Children's Low Vision Project (CLVP)-BC, and any future projects serving students with visual impairments in the BC K-12 Education sector.

The Projects Coordinator is responsible for coordinating these projects' core operations including procurement, accounting, and logistics while working on site at PRCVI and throughout the province with occasional overnight travel.

The Projects Coordinator reports to the Senior Manager of PRCVI while also managing PRCVI accounts and supervising the work of PRCVI unionized CUPE 15 Office Support.


Qualifications:

  • Completion of a minimum three (3) year advanced diploma or degree program in in Business or Office Management
  • Accounting and project management skills are required.
  • A valid driver's license is required.
  • Experience: Minimum of 1 to 3 years in office administration that includes regular accounting duties.

Responsibilities:


  • Traveling, including overnight within the Province of British Columbia
  • Maintaining programlevel accounts and accounting practices, including budget forecasting, reconciliation, and projections within the budget cycle
  • Maintaining internal accounts and reconciling accounts in the VSB system
  • Assisting to prepare the annual budget request submitted to the Ministry of Education and Child Care
  • Preparing opening budget figures for all PRCVI charts of accounts (COAs)
  • Procuring specialized tools, materials, and equipment for the operation of projects via vendors and suppliers within the accessibility/assistive technology marketplace
  • Ensuring that PRCVI teams have the required tools, materials, and equipment by acquiring, replacing or upkeeping existing products
  • Maintaining inventory of the Children's Low Vision Project (CLVP), which includes lifting, moving, and storing large totes of materials and equipment
  • Maintaining contract services for projects by preparing documents and satisfying procedural requirements with VSB Purchasing
  • Working with VSB Accounting and Purchasing Departments to ensure that POs are in place for all PRCVI vendors
  • Managing the POs related to procurement for the Children's Low Vision Project (CLVP)
  • Communicating with PRCVI stakeholders including teachers, district administrators, medical professionals, and other educational team members
  • Publishing and distributing clinic reports generated by the CLVP team
  • Communicating with VSB contact and with PRCVI's Funding Administrator at the Ministry of Education and Child Care
  • Supervising and supporting all bookings for CLVP clinics as well as travelling with the CLVP team to support onsite operations
  • Booking venues, arranging catering etc and coordinating logístical support for PRCVI hosted events
  • Assigning and supervising the work of 1.0 FTE Office Support (OS-C)
  • Periodically supervising other staff for PRCVI projects when required
  • Monitoring workflows and processes
  • Ensuring the effective use of office support time and resources.
