Optimum Insurance Company Inc. - North Bay / North Bay / Permanent / Full time:

Reporting to the Administration Manager, the administrative coordinator is responsible for managing the Broker Management System (BMS) to include broker changes, testing and troubleshooting for multiple branches.

The Administrator will also be responsible for the creation/deletion/modification of user privileges for brokers. They will process monthly confirmation of premium and claims transactions and perform other assigned tasks.

In addition to the broker management system the administrative coordinator will work closely with management to assist with the below:


  • Distribute Broker bulletins
  • Prepares Broker Contracts, Amendments, Addendums, letters
  • With RVP, Organize meeting for broker council meetings
  • Marketing efforts relating to Brokers and keep within allocated budgets
  • Send donations/flowers for brokers i.e., open house, compassionate
  • Ordering of promotional items, ensures we stay within budget
  • Process approved Coop Advertising requests
  • Organize Events i.e cruise, MTUN, golf, BBQ lunch at NB broker golf tourn, any industry events we participate in
  • Preparation of France trip
  • Organizing annual Flu Shot Clinic
  • Record company greetings. Every January open Jira listing all stat holidays, summer hours and office closures
  • Order and tracking of Envelopes/Liability slips/claim cheques
  • Office maintenance contact Descon of maintenance problems
  • IIC membership renewals
  • SAC organize staff events (within budget),
  • Participate on the health and safety committee, complete First Aid & CPR certification
  • Back up to reception, personal lines document assembly, ADP's and mailroom
