Position Summary and Scope


Reporting to the Manager, Volunteers and Community Programs, the Assistant, Community Support Services provides administrative assistance to the Volunteers and Community Programs team.

Key responsibilities include conducting client intakes, data entry, responding to client and volunteer inquiries, scheduling and confirming client attendance and appointments, assisting with foot care clinics, and assisting with booking program entertainers and guest speakers.


Responsibilities and Duties

Client Administration

  • Conduct client intakes and screeners, as per ROSSS program policies
  • Schedule followup meetings with staff members when required
  • Open new client file in client information management system (CIMS)
  • Update client information as required in CIMS
  • Make appropriate referrals to other programs and services, as needed
  • Mail new client packages to newly onboarded clients

Program Administration

  • Enter program statistics into CIMS on a daily basis
  • Schedule and confirm client attendance at community programs
  • Identify where clients require transportation as part of program attendance and liaise with the Coordinator, Transportation Program to arrange
  • Assist with booking and confirming entertainment and guest speakers for community programs
  • Schedule and confirm foot care appointments
  • Greet clients and respond to inquiries during foot care clinics
  • Assist the Coordinator, Community Programs, with the execution of seasonal programs (Income Tax, Snow Go, etc.)

Volunteer Management

  • Respond to volunteer inquiries
  • Liaise with volunteers on an ongoing basis regarding recurring mandatory requirements
  • Assist with volunteer recognition initiatives

General Responsibilities

  • Provide backup support to other employees, as required
  • Participate in internal and external meetings
  • Provide positive input to the streamlining, improvement, and implementation of new processes
  • Participate on internal and external committees and teams, as required
  • Communicate proactively with staff, any changes to your work that may impact other programs and processes
  • Adhere to all corporate policies and procedures
  • Ensure ROSSS' mission, vision and values are upheld
  • Ensure that all relevant documents are filed electronically according to ROSSS policy

Qualifications and Experience

  • Knowledge of the unique needs of seniors and adults with disabilities
  • Experience with program administration
  • Experience working with Microsoft Office 36
  • Experience with data management
  • Experience working in a nonprofit environment is an asset

Working Conditions

  • May spend long periods of time in a sedentary position in front of a computer screen
  • May be required to travel from the office to program venues
  • May be required to work occasional evenings and/or weekends
  • Required to participate in various community events on behalf of ROSSS.
