Position summary:


Reporting to the Canadian VP & GM, the Executive Administrator provides administrative support to members of the Canadian Leadership team (CLT).

The Executive Administrator will have managerial accountability for a Front Desk Administrator.

The role must interact seamlessly and with a professional demeanor across a broad range of individuals within the organization both in Canada and other global markets.

As a trusted partner to members of the CLT, the Executive Administrator is expected to handle sensitive and confidential information while exercising professionalism and discretion.


Position Responsibilities:


  • Provide advanced and confidential administrative support to members of the Canadian Leadership team daily.
  • Provide scheduling support including maintaining and managing executives' calendar and booking travel arrangements.
  • Prepare expense reports for processing and filing.
  • Draft, review and send communications on behalf of members of the CLT.
  • Act as the administrative point of contact between members of the CLT and internal/external clients.
  • Organize/plan and prepare for corporate meetings including scheduling, drafting meeting materials and assisting with appropriate followup.
  • Organize company and office events and assist with other industry and community events.
  • Effectively manage the daytoday activities of the Front Desk Administrator to ensure the administrative needs of the organization are delivered in a timely and efficient manner.
  • Ensure office administration policies, programs and practices are appropriately adhered to.
  • Collaborate with all company departments and teams.
  • Identify, recommend, and implement administrative continuous improvement initiatives.

Position Qualifications

  • Minimum of 10 years' experience in Office Management and Executive Administration roles.
  • Demonstrated ability to maintain confidentiality and work well with executive team leaders as well as external suppliers.
  • Advanced proficiency and accuracy with frequently used computer software such as Microsoft Office Suite.
  • Excellent interpersonal skills, both written and verbal.
  • Strong time management and followthrough skills.
  • Demonstrated ability to multitask and adapt to shifting priorities and changing workflow.
  • Ability to independently prioritize and meet multiple deadlines with mínimal supervision.
  • Excellent planning and organizational skills with a keen attention to detail.
  • Strong interpersonal skills with demonstrated proficiency in collaboration.
  • Demonstrated ability to work under pressure, manage concurrent projects within short time constraints, and work well both within a team and independently.
  • Ability and willingness to be on call.
