    Role Responsibilities

    The Operational Services Project Coordinator reports to the Director of Operational Services and supports the management and coordination of information for the Section. Operational Services Section encompasses a large team of administrative professionals that provide frontline administrative, financial, and human resource support to 3 ministries using a shared services model. The project coordinator will assist the Director and Managers in delivering efficient and effective services to Albertans and client ministries with a view to continuous improvement.

    Coordinate, monitor and support Section by identifying and managing issues, information, and workflow

    • Coordinate responses to information requests from Deputy Minister/Assistant Deputy Minister, Executive Director or Client branches and Ministry stakeholders

    • Prepare briefing information.

    • Coordinate project related activities and identify opportunities for integration and collaboration.

    • Monitor progress on projects or initiatives; analyze and adjust projects and report on results.

    • Work with staff to ensure section runs effectively and that processes are well understood.

    Manage outputs with view to continual improvement

    • Work with Section managers to determine priorities and develop project plans to complete continuous improvement initiatives.

    • Develop recommendations to support improvement of process and function and maintain awareness of processes, tools, best practices that can be tailored to meet Section requirements.

    • Manage and maintain central repository of procedures, workflow and best practices and reviews or updates on a regular basis.

    • Identify gaps and areas of concerns and options to address.

    Training Coordination

    • Analyze organizational training needs and gaps; work with managers to ensure training aligns with needs of Section.

    • Research, plan and implement training programs to help ensure staff are successful in their current role and prepare them for next step in their career.

    • Build annual training program and coordinate technical and leadership training requirements.

    • Develop systems that will track employee success and progress.

    • Prepare and deliver in-house training courses as needed.
