This position of an integral part of the Group Sales and Events team and works closely with banquets, kitchen and the rooms division departments at the resort to ensure the successful execution of all events.

The person will have a passion for event planning, guest service and setting the team up for success.


JOB DUTIES INCLUDE:

  • Overseeing the sales file turnover process to manage contracted events and meetings
  • Create Banquet Event Orders (BEO's) for all contracted events and meetings
  • Provide group support once the contract is signed, and right through the group's departure from the resort includes coordinating room accommodation, venues, floor plans, meals (menus), special requests, planning sessions
  • Ongoing communication with the convenor/meeting planner with a high focus on building rapport with the client before the event
  • Provide on site support for weddings and on site introductions and quality checks for corporate and social groups.
  • Organize deposits and payments, provide information to accounting for invoicing
  • Review all BEO's, Group Resumes, verify all specifications
  • Establish an effective method of communication between departments to ensure all group specifications are understood and delivered
  • Communicate any event changes in a timely manner to the relevant operating department
  • Organize and lead various meetings, including preevent meetings, BEO weekly meetings and other meetings as required.
  • Coordinate and book all internal meeting space for department managers.
  • Assist with sales inquiries and bookings as required.
  • Assist with office administrative tasks
  • Perform other duties and functions as assigned based on business levels throughout the resort and organizational changes as directed

QUALIFICATIONS:

  • Hotel/Resort work experience an asset
  • Catering/Event Planning work experience an asset
  • Must have a valid drivers license
  • Strong passion in guest service
  • Proven ability to work in team environment and independently at times.
  • Strong computer literacy skills in MS Word and Excel
  • Excellent communication and written skills

WORKING CONDITIONS:

  • Works the majority of time indoors, and on occasion outdoors for special events
  • Must be able to bend, reach and lift at least 30lbs.
  • Must be able to walk and stand for an average of 8 hours per shift.
