Job Summary:

This position supports the university's privacy, records, policy and information management and governance frameworks through effective management of privacy and access to information matters, conducting assessment of initiatives involving personal /personal health information and IT systems, conducting research, advancing or advising on policies, procedures and processes.


Nature of work:


This position reports to the Manager, Privacy and Policy, The Privacy and Contract Management Officer also supports the Office of the General Counsel in developing and implementing a strategy for creating compliant administrative processes for contract life cycle management across the university and file management within the Office.


Responsibilities/accountabilities:

Develops policies, programs and practices in the areas of privacy, records and information management, information governance and General Counsel priorities, for the University community to promote and sustain compliance with privacy law and university policy, in collaboration with institutional stakeholders.

  • Provides oversight into records and information management, information governance and privacy impact assessment particularly for new IT platforms through the contract negotiation and review process universitywide.
  • Coordinates the investigation and resolution of access to information and privacy requests and complaints for the University, as assigned.
  • Supports legislative reporting to, and communication with the Information Privacy Commissioner and the resolution of appeals and privacy complaints.
  • Supports the Manager, Privacy and Policy with the resolution of privacy, records and information related inquiries received through the privacy office.
  • Manages assigned privacy issues and identify key privacy priorities to ensure continuous improvement throughout the university.
  • Conducts privacy impact assessments on assigned projects in support of University objectives.
  • Ensures legal, policy and contract compliance and deployment practices
  • Reviews software license contracts as requested by VP Administration team or other units to assess risks to privacy compliance, information security and/or contracts terms
  • Manages contract tracking/lifecycle/ management database initiatives.
  • Supports internal university stakeholders to create and implement new or amended university policies in compliance with the Policy Framework.
  • Advises on drafting, necessary consultation and approval steps, related policies and compliance requirements.
  • Manages consultation and approval processes including the online consultation website, and the scheduling of policy approvals and consultations by university governing bodies.
  • Provides leadership and support to GC's Office projects and initiatives including the selection and implementation of new legal systems and software.
  • Develops educational materials for university faculty, staff and students to support GC's office initiatives including contract compliance, contract management, privacy and information governance;
  • Costs, compliance and financial reporting requirements, as scheduled or adhoc;
  • Advances awareness of and adherence to legislation/legislative compliance by managing a schedule of training sessions, and delivering workshops, consultation and advice.

Required Education:


  • Completion of a University Program consisting of Four Academic Years
  • Verification of Academic credentials may be required

Required Experience:


5-7 years experience in:

  • Privacy
  • Policy
  • Contract Management
  • Cyber Security and related compliance
