JOB OVERVIEW


Under the supervision of the Vice President Advocacy, the Advocacy Coordinator is an integral part of the Advocacy team, expected to work collaboratively within the department and across the organization.

The coordinator is responsible for ensuring consistent, organized, and progressive functioning of the Advocacy Team.

The role will work with the Senior Leadership team to coordinate financial, human resources, communications, travel, and team development functions.

This role will also support the department in the efficient and effective tracking of lobby reporting and business planning functions.


The role will also support all components of advocacy initiatives, including team administration, stakeholder outreach, and community engagement as they relate to cancer prevention and support for people living with cancer and their families.


WHAT YOU'LL BE DOING:


  • Support operations and processes, in collaboration with the Advocacy Senior Leadership team.
  • Innovate and implement strategies to improve departmental communication and streamline processes for enhanced efficiency.
  • Support outreach and meeting schedule to external stakeholders, including governmental departments, elected officials and health stakeholders.
  • Cultivate a positive work environment by coordinating engaging planning and teambuilding activities.
  • Lead the coordination of team meetings, including agenda preparation, minutetaking, and action item followup.
  • Ensure the management, organization, and optimization of the departmental collaborative workspace (SharePoint/project management tool support).
  • Coordination of monthly lobby registrations, including outreach internally and externally
  • Coordinate the orientation of new employees.
  • Contribute to campaign success through copywriting, copy editing, and managing mailouts.
  • Organize internal/external meetings and workshops, including event logistics, preparation, and printing of meeting materials.
  • Efficiently coordinate volunteer schedules, staff, and volunteer travel, and oversee volunteer reimbursements.
  • Conduct stakeholder outreach for enhanced engagement in event.
  • Offer comprehensive administrative support to the VP, including calendar management, flight and travel booking, support invoicing and financial reporting requirements, expense claims, conference registrations, and event registrations.
  • Coordinate human resources processes for the VP, facilitating new hiring and employee changes.
  • Effectively communicate HR timelines/deadlines to Directors.
  • Support the administrative tasks related to the Mission Leadership Team as well as Mission Strategies
  • Spearhead the organization and development of improved working tools and methods.
  • Fulfill other administrative duties as assigned

QUALIFICATIONS:


  • Postsecondary education, preferably in business or office administration
  • More than 3 years, up to and including 5 years similar or related general experience in progressively more important positions.
  • Computer literate, proficient in all base apps in Microsoft 365 including Teams
  • Experience with a multilevel nonprofit or community health organization is an asset
  • Bilingual in English and French is an asset
  • Flexibility, ability to deal with competing priorities
  • Superior communication skills particularly with writing, editing and proofreading.
  • Excellent interpersonal skills with proven ability to work independently and as a team player.
  • Strong organizational skills and sound judgment skills with a customer focus
