POSITION OBJECTIVE:


The successful applicant
will promote the values, principles, and services of the SEIU by working as an integral part of the Admin Team.

The position holder is responsible for providing clerical support including mailroom services, shipping, receiving, office equipment, and photocopying and supplies management.


This position is full-time working at our Head Office in Richmond Hill, Ontario and will report to the Manager of Administration, and work in close coordination with the admin team, regional team, post office and vendors.


DUTIES AND RESPONSIBILITIES:


  • Maintaining files and records so they remain updated and easily accessible.
  • Sorting and distributing incoming mail and prepare outgoing mail.
  • Process and send regular and largescale outgoing mailing.
  • Provide support and distribute mail to regional offices.
  • Photocopy assigned large scale documents for distribution and mailing.
  • Maintain registered mail and business reply account for postage.
  • Operate and maintain postage and mailing equipment.
  • Maintain inventory and ordering materials, supplies and services for office.
  • Ensure office is adequately stocked with supplies.
  • Operate office equipment including photocopiers for assigned large documents.
  • Coordinates with vendors to resolve office equipment issues.
  • Pickup and delivery of supplies and bank deposit.
  • Coordinates collective agreement distribution with vendors.
  • Perform other ad hoc duties as assigned.

EDUCATION

GENERAL REQUIREMENTS

  • Previous experience as office clerk or other clerical position
  • Familiarity with office procedures and basic accounting principles
  • Working knowledge of office devices and processes
  • Very good knowledge of MS Office
  • Excellent communication skills
  • Very good organizational and multitasking abilities

  • Ability to prioritize tasks.
  • Strong attention to detail.
  • Good analytical skills
  • Ability to interact with individuals across different functions within the organization
  • Ability to work under pressure to meet deadlines.

PHYSICAL DEMANDS/ WORKING CONDITIONS / ENVIRONMENT

  • Office work can include prolonged periods of sitting at a workstation and certain repetitive movements associated with such work.
  • Using a computer for long periods of time.
  • Frequent use of telephone.
  • Lifting and moving supplies and materials up to 25lbs.
  • There may be times (special projects) during which overtime is required. This should be on an occasional basis.

OTHER REQUIREMENTS

  • Maintain valid driver's license.
  • May need to work evenings and weekends. Work hours will vary to meet the needs of the operation.
