Job Scope


Reporting to and working under the direction of the Human Resources Advisor, the Human Resources Clerk performs data entry and communications services designed to support the effective and efficient day-to-day operations of the organization.

The service streams that the Human Resources Clerk will primarily work in are:
scheduling support, payroll support, benefits support, recalls and casual worker program, and reporting assistance.

Cross-training for other work in this division, during periods where there is a decrease in the regular workload, is expected.

The Clerk provides daily updates to the Human Resources Advisor ensuring necessary information is on hand for decision making and follow-up activities.

Regularly communicating with management staff, and infrequently communicating with employees, the Clerk supports the employer's Human Resources Management (HRM) programs and services, and maintains information security and privacy in all aspects of the work.

The work includes tracking and validating information to perform accurate data entry within the Sage 300 Human Resources Management System (HRMS).

Scheduling support includes assisting with the design and delivery of master schedule templates; collaborating with management personnel to schedule employees for regular duties, workload increases, education/training needs, and orientation needs, and schedule assignments for backfill workers and recall staff.

The Clerk provides bi-weekly and rotational schedules to workers in accordance with employer practices and guidelines.

Related activities will support the regular and ongoing maintenance of information in Sage 300 HRMS, ensuring accurate data entry to support bi-weekly payroll information for all departments, including tracking and validating leaves to ensure leave types and earning codes for pay and benefits accuracy.

This team member will track and update HRMS data to support accurate system reporting. Other related duties.


Preferred Qualifications

Education

  • Graduation from High School or equivalent.
  • Completion of a recognized administration program (HR concentration preferred).
  • Training and proficiency in the MS Office Suite and Internet browsing and webbased conferencing platforms (such as Zoom, Microsoft Office Teams).

Experience

  • Minimum two (2) years' experience within the last five in a progressively responsible administrative role.
  • Experience meeting deadlines, while maintaining a high level of productivity, accuracy and efficiency.
  • Experience with staff scheduling.
  • Experience working with privacy protected information
  • Experience working with electronic data entry and record keeping systems.

Knowledge, Skills & Abilities

  • Demonstrated excellent verbal and written communication and customer service skills.
  • Demonstrated organizational and time management skills.
  • Ability to task switch and be a critical thinker.
  • Ability to handle multiple small projects and respond appropriately and meet deadlines.
  • Ability to listen, and engage, and ask questions to learn how to complete the work properly

Other

  • Satisfactory record of work performance is required
  • Satisfactory completion of a Police Record Check.
  • Compliance with BC Immunization program, TB screening, and COVID19 vaccinations.
  • Valid Driver's Licence & Driver's Abstract
  • Ability to provide own transportation to and from work.

Additional Information

  • First Nation experience and an awareness and understanding of First Nations administration
  • Other certificates: WHMIS, First Aid
  • Ability to communicate in Dene and/or Cree.

Work Conditions
This work takes place in office Monday to Friday, 8:30 a.m. - 4:30 p.m., excluding holidays. The majority of work occurs at a desk using desktop parietals. There is some requirement to travel. Overtime only when approved by the supervisor.
