Your Opportunity:


The Administrative Support IV position reports directly to the Directors of Strategic Capital Planning (SCP) for the Calgary Zone and Central Zone.

Working with limited supervision, this role independently implements administrative functions to support SCP activities in both zones.

Acting as an information conduit, the position collaborates with Capital Management, AHS departments, Government of Alberta portfolios, and external consultants.

The role closely works with various executives and teams within the organization.

The position may be in the AHS South Sector (South, Calgary or Central Zone), but requires occasional travel to Calgary's Southport Tower.

Responsibilities include proactively supporting the Directors and a team of Strategic Development Capital Planners and a Guidelines & Evaluation Specialist.

The position assists other administrative support staff, including SCP Directors from other zones, in process, action requests, strategic direction, and policies.

Additionally, the role handles administrative assistance for internal committees, working groups, and task groups, manages confidential information, and maintains document libraries.

This role prepares, reviews, and monitors expenditures, including payroll, i-Expenses, and supplies. It involves formatting complex reports, presentations, letters, and memorandums and responding to day-to-day inquiries for the Directors. The position supports the recruitment process, creates job postings, arranges interviews, and manages onboarding logistics. Strong understanding of SCP team needs and priorities is essential for success.

Required Qualifications:

Some post-secondary education.


Additional Required Qualifications:


Grade 12; secretarial arts diploma; post-secondary work in health service, design, planning, construction, project management, business, or administration in a fast-paced environment, preferably within a large organization.

Experience in calendar management, organizing information, preparing agendas, minute recording, composing correspondence, preparing complex reports and presentations, table and project management.

Gathering resource and background material. Demonstrates excellent interpersonal, communication and organization skills. Exercises independent judgment, initiative, responsibility and action.

Must be proactive, flexible, willing to work in a team environment, and able to work with a variety of complex issues and competing priorities.

Advanced computer skills in Microsoft Office (e.g., Word, Excel, PowerPoint, MS Projects, Visio) and interoffice communication systems. Ability to work with graphics packages to support SCP document development. Ability to maintain confidentiality. Demonstrated leadership planning, priority setting, and time management skills required.


Preferred Qualifications:

Working knowledge of AHS administrative systems, financial and human resources processes and policies and e-People/RMS system is desirable. Experience in planning, project development, architecture and/or engineering environments is desirable. Working within a complex organization on innovative projects proposals and planning studies.
