Reporting to the Chief Quality & Privacy Officer (CQPO), this position is accountable for the efficient coordination and operation of the office of the CQPO.

The Executive Assistant will also provide administrative support to other members of the Quality portfolio including the Corporate Lead, Quality, and to the Information and Privacy team.

The Quality portfolio includes a number of departments, including Patient Safety, Patient Experience & Engagement, Medication Management, Infection Prevention & Control, Strategic Analytics, Health Information Management, Professional Practice & Clinical Learning and Libraries.

This position is accountable for the efficient coordination and operation of the executive office by managing daily activities, keeping a current calendar, reconciling and analyzing portfolio expenditures, liaising with internal and external parties, providing administrative and secretarial assistance, responding to concerns, serving as a special project resource as required, booking and providing support for meetings, interviews and events, coordinating travel arrangements/itineraries and performing other related duties.

Tasks assigned may be of a confidential or sensitive nature requiring sound judgment and discretion.

As the first point of contact for the CQPO office, the position excels at client relations and office administration, and maintains professional level of tact at all times.

The ability to prioritize requests and duties, work in a busy environment, and communicate effectively is key to this position.

Ability to capture meeting deliberations concisely and accurately through minute taking. Excellent communication skills (verbal and written) and formatting, grammar, and spelling. Ability to complete duties with numerous interruptions. Acts in a calm, professional manner with tact at all times. High standard of ethics and confidentiality in handling of sensitive information. Ability to work independently with mínimal direction/supervision. Willingness to be flexible and provide support/assistance as required.
