    Position Summary
  • Reporting to the Manager, Payroll Services, the Payroll & Benefits Associate is responsible for assisting in the performance of complex tasks in relation to the timely, complete and accurate processing of the biweekly payroll for all hourly, salary, union and nonunion college employees, Board of Governors members and student employees. Duties include calculation and verification of wages, enrollments, changes and premium administration for several benefit plans, pension plans and maintaining complete and accurate employee files. This position also assists with the Payroll Service Desk tickets and liaises with internal and external stakeholders regarding a variety of matters, including wages, benefit and pension plans, and software issues.

The Payroll & Benefits Associate will ensure that activities are done in an ethical manner and in accordance with college policies and procedures.

Duties & Responsibilities

  • Working as part of the Finance department, the Payroll & Benefits Associate will:
  • Follow best practice, assisting with the Payroll Service Desk tickets and take appropriate action responding to complex situations within specified timeframes based on Payroll deadlines.
  • Assist with crossover of duties with Human Resources Associates, working in collaboration and ensuring Payroll and Human Resources submissions are executed.
  • Assist with providing guidance of tasks to Human Resources Associates while working on technical projects.
  • Assist with all aspects of a pay, from initiation to exit and processing termination through resignation or retirement.
  • Assist with creating and processing offcycle payrolls.
  • Assist with accurately processing, in a timely manner, Employment Appointments forwarded by HR, Continuing Education contracts, and timesheets, ensuring adherence to all relevant policies and procedures, collective agreements, and current government regulations. This may involve multiple appointments, timesheets or contracts for one employee resulting in complex calculation and entry.
  • Assist with accurately processing paid and unpaid leaves, contract amendments, wage/salary increments and retroactive payments, and corrections ensuring adherence to all relevant collective agreements, policies, procedures, and current government regulations. This position also assists with calculation and preparation of Supplement Employment Benefits (SEB) payments for employees on maternity and/or parental leave.
  • Assist with verifying the payroll data for accuracy, correcting any errors, or omissions, and ensuring the completion of the biweekly payroll by the strict timesensitive deadline.
  • Assist with development and maintenance of spreadsheets for the purposes of data entry verification and reconciliation.
  • Assist with additions, updates, verification. and deletions of employee enrollments for a variety of benefit plans. Consult with all appropriate stakeholders regarding missing, or inaccurate information and forms. Assist with the annual overage dependent review for all members receiving benefits. Assist in the investigation and resolution of benefit premium remittance issues, as needed.
  • Assist with creating journal entries for the General Ledger for payroll adjustments.
  • Be responsible for serving as a main point of contact for Payroll & Benefit related matters. This includes, but is not limited to, answering queries from employees, responding to supervisor queries regarding processes and working closely with Human Resources.
  • Be responsible for maintaining all relevant filing systems within the guidelines of the Freedom of Information and Protection of Privacy Act.
  • Assist with accurately calculating and preparing Records of Employment according to current Service Canada instructions and legislation. Assist with preparing amendments to Records of Employment due to missing and/or late information, and uploading the information to Service Canada, verifying completion of the upload.
