    The Operations Support Specialist will be focused on delivering the highest level of service through strong interpersonal skills and living the FirstService Residential values. The Operations Support Specialist will be responsible for the preparation, distribution, and management of Periodic Information Certificates (PICs) for our managed communities, within the legislated timelines. The Operations Support Specialist will also oversee the DocuSign program through Zendesk to facilitate the electronic signing process for various documents, contracts and agreements, collaborating with property managers to ensure compliance with established procedures and ensuring security and confidentiality in the signing process

    Duties & Responsibilities

    · Prepare, distribute, and manage PICs for our managed communities.

    · Collaborate directly with Property Managers, and internal departments to ensure timely processing and distribution of PICs.

    · Prepare, distribute and manage all documents submitted through DocuSign while always maintaining the security and confidentiality of these documents.

    · Continuously evaluate and identify opportunities to drive process improvements.

    · Work cross functionally to effectively solve client facing problems.

    · Additional assignments and duties as may be assigned from time to time.

    · Practice and adhere to FirstService Residential Global Service Standards

    · Conduct business at all times with the highest standards of personal, professional and ethical conduct.

    · Perform or assist with any operations as required to maintain workflow and to meet schedules.

    · May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems, and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.

    · Follow all policies and Standard Operating Procedures as instructed by Management.

    · Perform any range of special projects, tasks and other related duties as assigned.

    Education & Experience

    · Associate degree in business or related field preferred, or equivalent combination of education and experience.

    · 2-3 years customer service experience in a service industry setting.

    · Must have strong proficiency in Windows and Microsoft Office (Outlook, Word, and Excel, etc.).

    · Ability to learn and navigate new technology platforms.

    · Administration experience is preferred
