Located at the head of Lake Ontario and within the municipalities of Burlington and Hamilton, Royal Botanical Gardens (RBG) is the largest botanical garden in Canada and one of the nation's earliest nature sanctuaries.

As part of the Business Development Team the Events Planner will be charged with creating experiences and bringing visions to life, with a strong focus on event design and curation, and audience development.

The event planner will be responsible for the development, curation, design and implementation of events at RBG. Events will include specialty garden dinners, brunches, VIP member and donor experiences and fundraising events among others.


Responsibilities

  • Plan, manage, and oversee all events from idea and event conception to implementation.
  • Establish event themes, concepts, décor and design.
  • Establish event goals, audiences and budgets.
  • Determine programming and plan for event content. Identify and book; speakers, entertainment, activations as required.
  • Develop detailed project plans for each event clearly identifying timelines, responsibilities and milestones.
  • Organize supplies, vendors and all logistics, including onsite setup and teardown operations as well as coordination for events.
  • Manage vendor and stakeholder relationships and communications.
  • Manage event logistics with internal teams, suppliers, sponsors and partners to ensure events and activations are delivered effectively.
  • Coordinate cross organization communication for events ensuring that relevant information is shared in a timely manner. Maintain and regularly update venue management/customer relationship management database(s)
  • Collaborate with the marketing team to develop marketing plans and promotions for events.
  • Maintain detailed budgets. Track event spending and stay within budget.
  • Work closely with the finance department to ensure proper reporting.
  • Regularly liaise with and coordinate with internal RBG departments to cultivate and secure support and resources for the successful implementation of events and partnerships (which includes but is not limited to events, festivals, exhibits and other activations)
  • Create and lead postevent analysis and reports.

Qualifications

  • Postsecondary degree/diploma in event management, tourism, hospitality or a related field.
  • Minimum 5 years of previous experience in event planning, event décor and design.
  • Experience in events and project management with a track record of successful events.
  • Experience sourcing talent, vendors and suppliers and communication with both internal and external stakeholders for event execution.
  • Creative thinker with an eye for detail, a working knowledge of trends and design principles and meticulous attention to detail.
  • Excellent organizational skills with the ability to multitask under pressure.
  • Strong communication and interpersonal skills.
  • Financially savvy, with the ability to adhere to planned budgets and process invoices.
  • Working knowledge of MS Office is required.
  • Must possess a valid Class G driver's license with a clear record.

Working Conditions

  • This position requires working a minimum 35hour work week.
  • Work is conducted both indoors and outdoors. Ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Extensive walking and standing during events.
  • Flexibility to work evenings, weekends and holidays is required.
  • Travel may be required from time to time.
