JOB DESCRIPTION

Responsibilities:


The Payroll Project Specialist will play a vital role in managing, executing, and reporting on payroll operational improvement projects and issues resolution projects.

Day to day responsibility for the investigation, analysis, and project design of how operations manage payroll process gaps and issues.

Responsibility for the optimization of payroll ops projects reporting and ensuring that our regional (NA/EMEA/APAC) projects are prioritized and executed on a timely basis.


  • Day to day payroll issues prioritization and assignment: perform fullcycle processing and data entry for semimonthly and monthly payrolls. Payroll vendor platforms exist for some but not all, so thirdparty management is key in prioritization and assignment activity.
  • Fullcycle processing includes data processing, allowance processing, time exceptions, garnishment, direct deposit, wire processing, pension and benefits, offcycle (manual) checks, distribution of payroll checks and pay statements, and maintenance of records.
  • Maintain Time and Attendance tools (ADP, SAP, other) to ensure streamlined and accurate vacation, overtime and leave processing specific to payroll operations.
  • Ensure payroll accounting is complete and accurate by uploading journal entry and perform monthly reconciliations of payroll related accounts, managing error remediation with internal stakeholders.
  • Provide support to employees and management regarding questions related to payroll transactions and provide payroll and/or labor related information upon request.
  • Ensuring project plans are complete and fully mapped out as well as track project plans and associated projects risks are appropriately managed.
  • Partner and collaborate with functional teams on project execution and overall adoptions.
  • Perform benefits & retirement deduction setup, maintenance, auditing, premium payments, and reporting for the vendors providing the following: Group Health Plans, Life Insurance and Disability Programs, FSA, COBRA, and 401K.
  • Document and maintain administrative procedures for assigned payroll and benefit processes and look for ways to improve existing processes and programs.
  • Drive and champion operational change management activities for special projects, payroll enhancements, benefits administration and other payroll impacting programs.
  • Participate in, and/or coordinate internal and external audits including Investigating payroll errors, improvements, and issues.

Requirements/Qualifications:


  • University degree (Finance/Accounting/Business Administration preferable) and APA or CPA Certified, preferred
  • Minimum 5 years' experience in payroll administration for a midsize global company
  • Strong payroll operations, six sigma processing and analytical skills required for optimal operational administration as it relates to payroll
  • Excellent interpersonal and communications skills with the ability to handle sensitive information with tact and diplomacy
  • Must be comfortable working within tight deadlines and highvolume workloads, critical thinking, ability to navigate in the environment of uncertainty and ambiguity
  • Extra attention to detail and care for confidential information
  • High level of proficiency in Microsoft Office Suite and advanced profic
