What Will You Do?

  • Facilitate the accurate and consistent production of company payroll which includes, calculations of pays, accounting for all employees, monitoring authorized extra pay, printing, and distributing deposit slips Responsible for the accurate biweekly processing of pays according to Federal payroll legislation, in conjunction with company pay guidelines.
  • Recognize situations for additional payments i.e. any company bonuses, shift premiums, tool allowances etc. and pay accordingly.
  • Responsible to recognize differences with Ontario, Manitoba and Quebec deductions.
  • Responsible to check the accuracy of all timecards and terminal driver summary sheets. Verify and ensure entitlements according to company policy.
  • Enter data into Infinium system. (AS400) Understand each area of input and various affected screens.
  • Import & ensure accuracy of payroll data from NTE1000 (Time & Attendance) system.
  • Audit Payroll Register to ensure accuracy. Review source deductions, check garnishees, review deductions for arrears in insurance etc. Make any necessary adjustments, prepare manual cheques when required.
  • Set up new employees into payroll system, modify maintain employee records.
  • Process terminations along with completing the Record of Employment in timely fashion.
  • Print direct deposit pay stubs and prepare for distribution to all terminals.
  • Respond to employee inquiries as required.
  • Maintain and update employee files: enrol and terminate, changes to personal information, premium deductions and pay increases.
  • Maintain and monitor any government reporting to be done on biweekly, monthly, and yearly basis (source deductions, employer health tax, T4's, releases, records of employment, etc.)
  • Provide training and monitor Payroll Assistant's duties and performance, completing performance reviews as needed.
  • Assist Payroll Manager in keeping employees notified of changes in any items effecting payroll.
  • Monitor and update or create payroll department processes and SOP's as needed.
  • All other duties as required.

Who Are We Looking For?

  • Minimum of 3 years' payroll experience. Trucking industry experience is preferred.
  • College diploma in Accounting, Business or Finance is preferred.
  • PCP designation or working towards is considered an asset.
  • Detail oriented, able to prioritize and effectively manage multiple assignments within strict departmental timelines.
  • Must be organized and have the ability to work with exceptions as they arise, as well as standard procedures.
  • Ability to handle increased workload during certain periods of the year, ie covering departmental vacations, December stats, yearend responsibilities.
  • Experience with MS Office Suite required. Experience with AS400 and HCM's considered an asset.
  • Good communication skills, both verbally and written.
  • Strong knowledge of payroll processing principles, applicable payroll legislation / regulations, automated payroll systems, internal controls, audits, income tax forms, benefits programs, etc.
  • Ability to provide mentoring, coaching, leadership and direction to Payroll Department team members.
  • Ability to work independently with limited supervision.
