Job Summary
The Assistant to the Dean plays a pivotal role in the Dean's Office administrative team by supporting its high-level operations and contributing to the effective functioning of the Faculty of Social Sciences. As a trusted advisor and problem-solver, this role is often sought out by the Dean's team and other staff for guidance on complex issues beyond their scope.
Reporting to the Faculty Director of Administration and working closely with the Dean, the Assistant facilitates the Dean's work by managing critical tasks such as maintaining the Dean's calendar, coordinating meetings with multiple stakeholders, and ensuring accurate and timely information for decision-making. The role oversees confidential records, supports faculty personnel processes (e.g., hiring, salary reviews, and leaves), and manages the administration of standing and ad hoc committees.
The Assistant also provides mentorship to other administrative staff, offers guidance to departments, and occasionally supports Associate Deans and the Director of Administration. This position may handle event planning, special projects, and serve as a resource during staff absences, ensuring seamless operations. The Assistant's decisions and problem-solving significantly impact the effectiveness of the Dean's Office and the broader faculty.
Job Requirements
Experience:
This position requires a level of education, training, and experience equivalent to 3 years of experience working within a comparable environment.
Knowledge/Skills/Abilities:

- Advanced proficiency with computer applications (i.e. MS Office, file sharing software, virtual meeting software, content management systems).
Specialized Knowledge/Education:
Secondary school diploma or equivalent.
