The Opportunity

Mosaic is seeking a Real Estate Coordinator to work out of our Nanaimo, BC office on Vancouver Island, British Columbia.


The Role

Reporting to the Director, Real Estate Development, the Real Estate Coordinator provides expertise and support to the Real Estate team, including managing sales documentation/tasks and facilities/commercial land use administration, with a high degree of professionalism, attention to detail and a strong work ethic.

Specific responsibilities may include but are not limited to:


  • Overseeing the preparation and administration of property management/commercial land use records such as contracts, invoicing, purchase agreements and closing statements while ensuring compliance with contract obligations;
  • Managing and negotiating land title registrations while ensuring compliance with legal requirements;
  • Liaising with internal and external stakeholders, including legal counsel, realtors and direct buyers, to assist with property files/sales;
  • Managing the yearly property tax file, including data entry, reporting internally and processing tax payments;
  • Managing the administrative requirements for Mosaic's real estate brokerage, Couverdon Realty Ltd, including local board and MLS system overview;
  • Providing support to Real Estate Director in conducting and/or coordinating research;
  • Coordinating, organizing and maintaining real estate related field inputs in a central knowledge bank;
  • Providing timely and courteous customer service to internal and external inquiries; and
  • Preparing general correspondence, reports and presentation materials as required.

Required Skills and Experience

  • 2+ years' experience in a Real Estate, Law and/or Property Management environment;
  • Post
  • Secondary Education in a related field is preferred, but not required;
  • Good working knowledge of real estate terminology, contracts and forms;
  • Excellent communication and interpersonal skills;
  • Ability to multitask, meet deadlines and solve problems in a fastpaced environment;
  • Ability to work both independently and as part of a team;
  • Highly dependable and adaptable with great work ethic; and
  • Proficiency with Microsoft Office and flexibility to learn internal computer systems.
