The impact you will have:


To support the day-to-day operations of Softchoice's Legal Department with a primary focus on the management of Softchoice's Contract Repository; contract management and data entry; initial review of legal and quasi-legal documentation; and provision of legal administrative support.


What you'll do:


  • Contract Management and Data Entry:
  • Upload finalized customer and vendor contracts to the Softchoice Contract Repository and populate key attributes and information ("meta-data", e.g. legal names of parties, effective date, termination date, pricing provisions, notice requirements, etc.)
  • Retain and remove contracts (in accordance with policy) in the Contract Repository
  • Retrieve and review Contracts as required for specific business purposes
  • Collaborate with business stakeholders to provide meaningful insights and value from metadata
  • Manage Contract Repository:
  • Assist with the coordination of data entry and uploading of contracts between Operations (Vendor Management, Sourcing, Microsoft Licensing, Facilities), Sales Operations (RFPs, RFQs, RFIs), Services (Professional, Managed, Assessment and Partner Services), and Finance/Legal
  • Provide periodic training, auditing and governance for Contract Repository across the above functional teams
  • Provide guidance and support on Contract Repository policies and procedures
  • Upload legacy contracts and metadata into the Contract Repository
  • Create, review, negotiate and finalize selected contracts (i.e. NDAs, RFPs, Purchase Orders)
  • Work with the legal and business teams to help internal stakeholders meet company goals
  • Assist in providing coverage for Legal Coordinator and management of legal work allocation
  • Assist Legal team with finalizing contracts and having contracts executed by authorized signatories
  • Provide administrative support for members of the Legal, Risk & Compliance and Senior Leadership Teams.

What you'll bring to the table:

  • Relevant post-secondary education (e.g. law clerk, legal office administration, or paralegal) or one or more professional designations (e.g. member of the Institute of Law Clerks of Ontario)
  • One year of relevant experience, legal training or combination
  • Customer service focus; ability to work with and maintain highly confidential information; highly organized; extreme attention to detail; excellent written, verbal, communication, and reading comprehension skills; professional; experience with corporate/commercial contract review and interpretation; general knowledge of legal terminology; ability to work independently and in a team environment; demonstrated initiative; ability to manage a high volume of work, including ability to multitask and prioritize workload
  • Computer proficiency; able to use Microsoft suite of tools effectively (e.g. Word, SharePoint and Excel) with aptitude to learn new software quickly; familiarity with maintaining input of databases or contract management software would be preferred
  • French language skills considered an asset
