CRITERIA FOR AN INTERVIEW:
Post-Secondary diploma or degree in the field of administration, information and/or project management
Minimum two (2) years' work experience, focused on administrative/project support with proven experience in administration and continuous improvement
School-based experience will be considered an asset
Demonstrated ability in editing/proofing complex and confidential reports and developing/documenting standard operating procedures
Demonstrated ability to lead projects
Continuous improvement certification is an asset (e.g., LEAN or Agile)
Advanced user of office software packages, including Microsoft Office Suite. Familiarity with SAP suite of products is an asset
Excellent interpersonal skills and demonstrated ability to build key business and stakeholder relationships, and customer service skills
Proven ability to work with multiple stakeholders in a demanding environment
Demonstrated written and verbal communications skills
Excellent time management and organizational skills
Proven ability to coordinate and collaborate with cross-functional teams to deliver on projects and initiatives
Proven ability to take initiative and work independently with mínimal direction
Flexibility to work some evenings and weekends as required
Ability to travel to and work from various Board locations as required
MAJOR DUTIES AND RESPONSIBILITIES:
Reporting to the Associate Director, Academic Affairs and Chief Operating Officer, this position is responsible for providing administrative and project assistance to the Associate Director, to enhance the efficient operations of the division.
This position will be expected to work cross-functionally and collaboratively with multiple teams to coordinate and manage specific administrative tasks while maintaining the priority function of providing support to the Associate Director.
Major duties and responsibilities will include but not limited to the following:Administration & Operations
Manage the calendar (accepting, creating, scheduling of meetings) of the Associate Director, Academic Affairs & Chief Operating Officer
Key lead for the execution and administration of Education Council, including agenda setting, confirming speakers, recording of meeting minutes, and maintaining report tracker
Attend meetings with the Associate Director, Academic Affairs, and work with senior staff to ensure follow up items, and actions are executed
Maintain confidentiality based on the requirement to access, review, maintain and distribute sensitive departmental, divisional, and organizational communication, materials, and records
Facilitate completion and authorizations of correspondence on behalf of the Associate Director, Academic Affairs & Chief Operating Officer
Maintain knowledge of Board policies and practices, required legislation, regulations, and Standard Operating Procedures (SOPs)
Develop and implement new tools and methods for the continual improvement and efficiency of practices and processes
Communication & Reporting
Plan, coordinate and execute special events, internal team meetings and public sessions; acting as a representative of the Associate Director, Academic Affairs and Chief Operating Office
