JOB SUMMARY:


Provide administrative and program support services to assigned Section(s) of the Transportation Services Division, which contribute to the efficient functioning of the Section(s).

As a member of a multi-disciplinary team, the Program Assistant provides administrative and technical support to assist in the delivery of programs and services in a fast-paced and challenging environment.

In addition, the role provides front-line customer service to diverse customers, partnering agencies and internal staff on behalf of the Division.


QUALIFICATIONS:


EDUCATION:


  • Completion of a postsecondary diploma in business, office administration or equivalent.

KNOWLEDGE/EXPERIENCE:


  • 2 years of recent related administrative, program support, records, data management, and customer service experience.
  • Advanced knowledge, experience and skills in Microsoft Office Suite programs (Word, Excel, PowerPoint and Outlook) and the various office equipment is required.
  • Demonstrated experience working with team to identify and implement opportunities for continuous improvements.
  • Demonstrated experience and proficiency in program specific software/databases (e.g. CMMS), considered an asset.
  • Knowledge of Niagara Region's Corporate Management Records System (CRMS), Enhanced Financial Management Service (EFMS), Time Encoding Software (Kronos/City Works) is preferred.
  • Geographic knowledge of the Niagara region and road system (including the 12 Local Area Municipalities) is preferred.
  • Knowledge of services provided by the Division would be considered and asset.

  • Professional customer service skills and a positive attitude are required.
  • Must demonstrate teamwork, open communication, excellence in service, integrity, accountability.
  • Excellent communication and interpersonal skills, to respond to the diverse needs of internal and external customers in a fastpaced and challenging environment is essential.
  • Proficient ability to develop and produce correspondence, documents, reports, financial records and record retention is required.
  • Requires accuracy and attention to detail in creating documents/records, along with advanced proofreading and grammar skills.
  • Record/data management knowledge, including file management and using databases is essential.
  • Time management and organizational skills, with ability to manage and reprioritize work with demands, interruptions/ distractions under tight timelines.
  • Ability to work both independently and to function effectively as a member of a multidisciplinary team.
  • Demonstrated problem solving skills, utilizing available tools/resources to assist customers with inquiries.
  • Knowledge of cash handling, use of a Point of Sale (POS) machine, and familiarity with accounts receivable processes, controls and posting to an accounting system is considered an asset.

SPECIAL CONDITIONS:


  • Must maintain ability to travel in a timely manner to other offices, work locations or sites as authorized by the Corporation for business reasons.
