Role Overview
The Accounts Payable Specialist provides financial, administrative, and clerical support to the organisation. Their role is to complete payments and control expenses by receiving payments, plus processing, verifying and reconciling invoices.


Primary Responsibilities

  • Completes payments and controls expenses by receiving, verifying, coding, and processing invoices for multiple companies.
  • Accurately charges expenses to accounts and cost centres in SAGE accounting system by analyzing invoice/expense reports and recording entries.
  • Matches invoices to purchase orders and receiving reports (if applicable) and ensures all invoices are properly verified and approved before issuing payment.
  • Pays vendors, students and employees through cheque, EFT and wire transfer with close attention to detail including verifying HST/GST numbers, banking information, scheduling payments and resolving discrepancies.
  • Prepares, manages, and reconciles wire transfers for international payments to students and agents.
  • Monitors opportunities for early payment discounts.
  • Reviews employee expense reports for compliance with company policies as well as coding to proper cost centre and issue payment.
  • Maintains divisional financial records and general ledger accounts.
  • Maintains accounting controls by following policies and procedures.
  • Reconciles vendor and general ledger accounts
  • Perform journal entries and reconciliations as needed to capture interest, bank charges, accruals etc related to all bank accounts.

Other Responsibilities

  • Assists in the preparation and reconciliation of schedules for the annual audit.

Qualifications and Skills

  • College or University degree/diploma in Accounting, Business or related field, or an appropriate combination of education and experience
  • 2+ years of relevant experience
  • Strong organization skills with ability to prioritize multiple tasks and requirements.
  • High level of proficiency with accounting systems, Excel, Word and Microsoft Office.
  • Well developed data entry skills with ability to process high volumes with a high degree of accuracy.
  • Attention to detail and thoroughness.
  • Experience of using Sage 300 or other accounting software.
  • Strong communication, problem identification and resolution skills.
  • Ability to work in fastpaced environment.
  • Ability to work well under pressure and meet deadlines.
  • Ability to work effectively in a group environment.
  • Strong mathematical competence.
  • Patience, mild temper & good communication skills.
  • Analytical.
  • Must maintain confidentiality.
  • Customer focused.
