SUMMARY


The
Portfolio and Vendor Management Specialist supports the maintenance and enhancement of The Vendor Management Program (MERX) and performance activity related to vendor operations, efficiency and risk.

Specific responsibilities include but are not limited to oversight and governance of vendor performance measurement and management, deployment of vendor performance score cards as well as organization, facilitation of the cross-client Supplier Business Review process and vendor communications.


The Vendor Management Specialist activities will primarily be associated with vendors working within the Project Delivery workstream and performing construction related activities.


This role will work in collaboration with all key BGIS departments to ensure full support of all activities and play a key role in our INTEGRATED approach to operating buildings.

KEY DUTIES & RESPONSIBILITIES

Safety Ownership and Regulatory Compliance


Comply with all internal and external requirements including but not limited to environmental, health and safety, fire protection and mandated by BGIS Health Safety and Environment Teams and enforced by law.


Planning and Scheduling

  • Schedules Supplier Business Reviews, collects and prepares data, decks.

Vendor Qualification

  • Reviews and approves vendor set up requests and vendor information changes
  • Vendor set up within the MERX platform as qualified vendors
  • Vendor Training engages with Project Delivery and Vendors to ensure requirements are maintained, monitors and reports results.

Vendor Compliance Program Management

  • Monitor the compliance of vendors.
  • Review Vendor contracts and assist with vendor KPI measurement and contract governance.
  • Review profiles of noncompliant vendors and assist in vendor's becoming compliant.
  • Work with vendors to ensure they understand processes/requirements for compliance.

Vendor Assistance

  • Assist in development on vendor onboarding/training package detailing processes and requirements new vendors need to know to be successful.
  • Support Vendor Management team by providing data, training and communications to vendor community.
  • Support the execution of endtoend competitive bid process as needed for identified projects

Strategic Sourcing Best Practices & Industry Trends Within the Construction Industry

  • Maintains indepth and current category knowledge as well as knowledge of strategic sourcing best practices and industry trends

Continuous Improvement

  • Assists in the identification and implementation of performance metrics to measure supplier performance.
  • Assists with supplier performance measurement and management.
  • Special projects as assigned.
  • Lead, coordinate and assist with special function as assigned.
  • Prepare communications, presentations, agendas, minutes and spreadsheets for specific projects and assignments.
  • Responsible for the collection of technical data and the maintenance of databases.
  • Generates regular and ad hoc reports.

Other activities

  • Working with other team members to support vendor KPI programs.
  • Additional duties as may be required from timetotime.

KNOWLEDGE & SKILLS

  • Selfstarter with high degree of motivation and ability to work autonomously.
  • Detail oriented and can interpret/analyze data.
  • Proficient with MS Excel, and Outlook.
  • Ability to meet tight timelines and can work in a fastpaced environment.
  • Reliable, responsive and good interpersonal skills.
  • Proficient in using technology for data base entry and maintenance of electronic files.
  • Experience with editing and drafting documents.
  • Able to communicate in a professional capacity both written and oral.
  • Bilingual in French and English would be an asset.
