The
Administrative Assistant plays a critical role in the success of different segments of our Business.

From being a contact point for our customers; support Leaders and employees; involved in projects as well as insure day to days' activities.

By its involvement the incumbent meets the above with a strong sense of achievement.

In a typical day, YOU will:

  • Demonstrate workplace safety, environmentally sound, healthy behaviors at all times in support of Toromont's Health and Safety Policy, Programs and initiatives
  • Divisional Events coordination
  • Manage accounts payable, invoice coding, data entry and filing
  • Administer accounts receivable cheque coding, recording and deposits
  • Support to TMH sales team and management in administrative tasks thru validation, translation of documents, quotes and tenders.
  • Main link to all MH portals of our different manufacturers portals when it comes to access & registration for all new employees of the Division
  • Coordinates all reports (internal and external use) and returns related to contractor compliance / certification.
  • Misc.

projects to include but not limited to:

  • Government requirements
  • Building maintenance support to include Security
  • Keys, access & Office equipment supplies
  • Manage TMH safe practices Contractor List
  • Ensure internal and external customer requirements are achieved in an efficient manner
  • Regional liaison with Digital marketing specialist on all aspects related to marketing materials and campaigns
  • Coordination of new employee onboarding
  • Divisional communications to include phone system support
  • Process the incoming and outgoing mail including distribution;
  • Coordinate incoming and outgoing courier requests
  • Manage supplies and coordinate the receiving and distribution of them
  • Assist in other duties are required

Must-haves for this role:


  • College diploma in administration or related field
  • 3 to 5 years' experience in an administration role with a focus on customer service/industrial retail environment
  • Experience in project coordination or support to operations or sales is an asset
  • Proficiency with all Microsoft office tools
  • Mastering communication skills both written and verbal in French and English
  • Customer service /sales oriented / ability to prioritize.
  • Team player
  • Building maintenance & support experience is an asset
  • Quick learner
  • Multitasking and able to cope with high paced business model
