Position Information:


Reporting to the Manager, Procurement Operations, the incumbent will help support end users, maintain and oversee use of the procurement modules as part of the Oracle ERP system, to ensure data integrity, facilitate user interface of system modifications and updates.

As a member of the Contracting and Procurement Services team, this position will help support the teams' goal to be recognized and trusted as a leading procurement team, driven by results, providing strategic value and industry best-practice to support world-class care.


Rotation/Shifts:

Days, 8 hour shifts. *For information purposes only - The Hospital reserves the right to change.


Responsibilities:


  • Process and input contracts, supplier records, pricing information and Item master data files into the Oracle system.
  • Consolidate, amend and troubleshoot data anomalies to maintain data integrity and system functionality.
  • Conduct scheduled data maintenance regarding various aspects of the procurement modules of Oracle System including sourcing rules, ASL attachments, master catalogues and GHX System interface.
  • Support iProcurement module and end user requests, providing basic technical support, training, education and information.
  • Support and/or develop documentation standards.
  • Support and/or develop training materials.
  • Coordinate and support all supply chain stakeholders with inquiries in a timely manner.
  • Update, monitor and support supply chain users with TOH policy and compliance regulations.
  • Review change requests and applicable criteria for procurement module updates in order to conform with audit and control standards.
  • Perform appropriate administrative duties as required and/or deemed necessary that support business requirements.

Basic Requirements:


  • Completion of Secondary School (Grade 12 or equivalent);
  • Minimum twoyear diploma in business administration or related field;
  • Minimum of three to six months' work experience in a computer technical database environment;
  • Data Entry (4000 k/h);
  • Strong knowledge of Oracle Database System/Applications;
  • Sound knowledge of the Materials Management cycle;
  • Strong verbal and written communication skills;
  • Possess very good decision making and organizational skills;
  • Sound knowledge of Purchasing/Inventory Control/Accounts Payable overall functions;
  • Eligible to work in Canada.

  • Ability to multitask and prioritize a variety of different tasks.
  • Possesses strong communication and client service skills. Procurement System Administrators (PSAs) interface with all stakeholders using the supply chain system.
  • Attention to detail and strong Microsoft Office365 skills including Excel, Word, Outlook, SharePoint and use of data loaders to manage and maintain high quality data with exceptional accuracy.
  • Problemsolving, critical thinking and analytical skills; commonly system or process errors must be interpreted, investigated and solved.
  • Flexibility as workload can be unpredictable, fluctuate and reprioritization is common.
  • Professional and patient demeanor.
  • Technical knowledge: Possess a working knowledge of Purchasing/Procurement, Inventory Management, Shipping and Receiving, Finance and Accounts Payable workflows.
  • Strong knowledge of Database Systems/Applications coupled with working knowledge of the Pay to Procure cycle.
  • Ability to support ongoing planning and process enhancements or improvements.
  • Knowledge/keeping wellinformed of Hospital/Departmental policies.
  • Awareness of Broader Public Sector Procurement Directives and Act.
  • Must be assertive, observant, diligent with strong organizational skills.
  • Healthcare supply chain related certificate or equivalent considered an asset.
  • Experience in a technical database environment with a supply chain function also considered an asset.
  • Must be analytical, customer service oriented, an excellent communicator and comfortable with presenting and training.
