Band 4 - $ 60,847 - $ 72,560

Work Schedule: 35 hours/week

Position Summary:

The Office Supervisor represents the Superintendent as their front line contact and performs administrative duties supportive of the Superintendent. This position administers and oversees functions within the Superintendent's office including management of a large department budget.

The Office Supervisor also supervises, directs, and coaches administrative support staff, monitors and balances workloads and resources to meet all deadlines and expectations, and provides assistance and training as required.

Key Responsibilities

Manages and coordinates day-to-day operations of the Superintendent's Office (delegation of tasks, scheduling meetings, responding to community/public, staff and trustee inquiries, and other administrative tasks)

Manages and supervises direct reports by assigning work, resolving problems, monitoring and reconciling Smartfind (including vacation entitlement and overtime), and evaluation and professional growth process

Directs and responds to all internal and external communications, inquiries, and concerns pertaining to the operational domain of the Superintendent in a knowledgeable, tactful, and supportive manner

Determines importance and urgency of requests and initiates the appropriate action required

Coordinates and manages meetings both internal and external, including agenda setting, minutes, and communication with committee members

Drafts and maintains more complex correspondence, departmental documents and Board submissions for review by the Superintendent

Conducts administrative tasks to support Special Education Services and Special Education staff

Purchases materials for Special Education Services staff and programs

Registers itinerant staff and IPL's for conferences


Minimum Qualifications:

Two year College Diploma

Four years of work experience

Preferred Qualifications

Six years of work experience

Knowledge of iSYS and familiarity with current educational issues at local and provincial level, including

Ministry of Education initiatives as well as current legislation
