Position Summary:
Based out of the Athletics & Recreation Fitness Center (ARC), the Program Staff is responsible for assisting with the development, delivery, and day-to-day operations of UBC Recreation's diverse Fitness Programs offering.
The position directly supports a large team of fitness staff, including a large Personal Training (PT) team, Group Fitness Class instructors, Dance instructors, and Martial Arts instructors.
The Fitness & Classes Program Staff will receive training and hands-on experience working in a large-scale institution and in a program that engages UBC students, UBC Staff & Faculty, and members of the community.
The incumbent will gain exceptional experience in recreation program administration, development of student/non-student staff, and managing relationships with partners while developing skills in the areas of leadership, communication, teamwork, administration, critical thinking, and creative problem-solving.
The incumbent will be given opportunities to provide creative input into the direction of the Fitness Programs.Day-to-Day Duties Relating to Fitness Programs
- Work in collaboration with the Fitness Programs Coordinator to support fitness staff with program delivery, equipment management, studio management, and management of registration software.
- Administrative tasks include assisting with program entry, equipment inventory and purchasing; managing substitution requests, and client file review to support areas such as personal training client registration, seasonal fitness program registration, and various partner programs across campus.
- Administers new client intake and matches clients with trainers while providing a high level of customer service and a warm, welcoming environment.
- Assists with the administration of the Personal Training webpage.
- Assists with considering equipment purchases and studio layout improvements.
- Assist with the facilitation of Free Week each term, providing a welcoming and fun environment for participants to try out Fitness and Instructional classes.
- Organizes and audits programming details of fitness classes, including instructor availability, class scheduling, description, pricing, and venue capacity.
- Assists in various program delivery aspects, including registration, signin procedures, attendance/form tracking, and withdrawals.
- Assists with organizing private programs for onandoffcampus partners, including studio bookings, assigning instructors, issuing invoices and contracts, and maintaining online registration.
- Assists with the development and delivery of diverse outdoor programming through relationships with external partners, and existing service providers in specialized outdoor activity areas.
- Assist with recruitment, onboarding, and training of Work-Learn student programming staff, who will assist in the administration of the Fitness Programs portfolio.
- Assist with recruitment, onboarding, and training of new personal trainers, fitness instructors, dance and martial arts instructors, and camp leaders.
- Assist with the development and delivery of inperson training and staff meetings for personal trainers and fitness instructors, including training materials, teambuilding exercises, dayof logistics, and dayof execution.
- Assist with the development, implementation, and facilitation of new camps and initiatives.
- Assists in various program delivery aspects, including registration, signin procedures, attendance/form tracking, and withdrawals.
- Assists in the execution of program evaluation tools for both PTs and fitness instructors
- Assists with the collection of statistics and data on program activities through their participation, and implements changes and recommendations accordingly.
- Assists in the development and implementation of marketing and promotional initiatives.
- Assists in the developing, implementing, monitoring, and evaluation of departmental policies and procedures.
Supervision Received
The Fitness & Classes Program Staff works closely with and reports directly to the Fitness Programs Coordinator.
This role also interacts with staff from across the Athletics & Recreation Department, and liaises with other departments across the University.
The incumbent works under a set of policies and procedures, and is expected to defer to the supervisor when any judgment or decision making outside these parameters is required.
