2. Gather and screen information; determine client's eligibility for services, including completing the intake process and the needs assessment forms to identify client's needs and issues related to their settlement and adaptation when necessary (develop and adhere to a standardized intake process/documentation and input information into iCARE/OCMS databases)


  • Determine necessity and appropriateness of programs; make referrals to other interventions/agencies when needed
  • Follow-up with scheduled appointments
  • Assist in researching, developing and locating resources to enhance the program, as directed by Manager and Settlement Counsellors
  • Collect statistics; submit monthly reports and input client data into iCARE and other internal databases (Excel/OCMS); maintain other documentation as required
  • Maintain and document statistical information related to the program(s)/stream including the creation of excel charts and organizing information in a cohesive and logical manner Organize and maintain all documentation within internal NCP/program drives
  • Assist in the organization of special events that will enhance the program
  • Assist in outreach activities to recruit clients, as directed
  • Continue professional growth through attendance at workshops, conferences, etc. The information acquired/learned should be shared with all team members.
  • Attend staff, department, NCP committee meetings as required, and take and compile team meeting minutes
  • Research resources, facilitate workshops (when necessary) and maintain other tools/material to enhance the counselling/settlement process
  • Ensure office supplies are in stock and organized.
  • Maintain all program calendars
  • Track and input budgetary information as required
  • Maintain other documentation as required
  • Assist Settlement Manager as required
  • Other duties as required
Qualifications & Requirements


  • College diploma and 1+ year related work experience in assisting newcomers/families
  • Excellent technological and communication skills; in person and by phone and familiarity with online/web platforms
  • Comfortable communicating with representatives from all segments of the community, government and human services, when needed
  • Skilled in working with diverse clientele in terms of socio-economic factors, education, income, culture, immigration status, etc.
  • Good organizational skills, ability to multi-task while maintaining high level of accuracy in data collection; good understanding of confidential issues and privacy law/requirements
  • Self-motivated, creative, and energetic; an ability to work as part of an effective team with other program staff, committee members, community members and other community professionals
  • Excellent computer skills using Microsoft Office (especially Word, Excel, E-mail, Internet, PowerPoint)
  • A valid driver license and access to a vehicle is an asset
  • Knowledge of iCARE/OCMS systems and proficiency in excel is highly recommended
  • A secondary language considered an asset
