Shipping & RMAs - Customer Service Representative
Reports to
CFO
Role
Responsible for coordinating and preparing shipping documents according to processes in place, utilizing company ERP system; Responsible for coordinating Pick & Packs from start to finish; Demonstrate seamless processing of outgoing shipments as directed.
Responsible for assisting customers daily inquiries as required; Communications between internal and external teams; Covering in the office where required.
Responsible for covering front office main telephone line, when required.Responsibilities
- Coordinate with carriers and freight forwarders to schedule pick up of goods; Provide tracking and delivery information
- Coordinate with Electrical Engineer Manager to schedule and coordinate Pick & Packs from start to finish, as it related to tickets.
- Assist with ad hoc pick and packs as required.
- Assist Shipping & RMAs
- Customer Service Representative Lead with negotiating best pricing with freight forwarders; Ensure each shipment generates the maximum contribution to the company by keeping constant focus on meeting the required service level at the lowest possible cost, as required.
- Stay informed on market conditions, lead times, and shifts in pricing for services
- Maintain customer and contact database, as needed
- Prepare shipping documents including but not limited to, packing list, commercial invoices, installation instructions and shipping, as required.
- Assist factory shipping department to ensure for proper loading scheduling and requirements
- Communicate with internal and external customers on shipping schedule and product/shipping documentation.
- Confirm physical shipment of goods and facilitate tracking of packages
- Liaise with the Planning Department to review all orders and schedule shipping in the most efficient manner, as directed, as required.
- Responsible for obtaining shipping details required for shipping planning such as dimensions, weight, number os skids, etc.,
- Provide packaging department documentation support as required.
- Provide high level of customer service, ensuring positive and professional representation of the company
- Process and follow up on RMA's
- Resolve customer complaints and establish corrective action plan; escalate when required
- CSR functions, as directed or needed
- Perform filing and clerical duties, as required
- Wear proper safety equipment and follow safe working practices
- Work is performed in a combination of environments
Qualifications
- 35 years experience working in a shipping focused role
- Customer service oriented; Excellent written & verbal communications
- Demonstrated project coordination skills; well organized, attentive to details
- Demonstrated ability to multitask, organize and prioritize work
- Must have strong problemsolving skills and the ability to think and respond quickly to sales & service issues
- Ability to work both as an individual and in a team environment
- Proven track record of personal responsibility and accountability
- Overtime as required
