Our methodologies support the vitality of oral history, the authority of Traditional Knowledge, the importance of self-determination and community led initiatives.

We have staff members located throughout the country and have worked alongside Indigenous Nations, all levels of government, communities, museums, filmmakers, policymakers, and individuals.

As we continue to expand our operations and services, we are looking for a talented and experienced Chief of Staff to join our leadership team.

About the Position

As the Chief of Staff, you will play a pivotal role in supporting our leadership team and ensuring the efficient operation of the company.

You will collaborate closely with the CEO and company directors to drive strategic initiatives, streamline processes, and foster cross departmental collaboration and communication.

The Chief of Staff will oversee and provide direction to the Operations team, administer project resourcing, manage staff development, and lead special initiatives.

This role requires a proactive and adaptable individual who can thrive in a fast-paced environment and will contribute to the overall success of the company.

Responsibilities & Duties

  • Briefs the CEO on issues and priorities related to Resourcing, Operations and Staff Development.
  • Tracks high priority initiatives for the CEO to identify any/potential obstacles.
  • Develops Quarterly Chief of Staff & Operations Strategy
  • Facilitates company meetings, including Heads of Department, All-Staff and Quarterly Strategic meetings, by creating agendas, scheduling meetings and monitoring action items to ensure they are completed.
  • Provides thought leadership and contributes to decision making processes by conducting research, preparing reports, and offering well informed insights.
  • Collaborates with department directors to facilitate effective communication and alignment across departments, driving operational efficiencies.
  • Works on strategic business initiatives from ideation to implementation
  • Prepares presentations, reports and other internal and external communication materials.
  • Monitor industry trends, competitive landscape, and market developments to identify potential risks and opportunities.
  • Oversees the daily operations of the organization and leads the Operations Team
  • Monitors and reports on timesheets, budgets, and performance.
  • Analyze data to identify areas for optimization and growth.
  • Coordinates Resourcing for Directors and Project Managers, ensuring scheduling tool is up to date.
  • Receives, reviews, and evaluates Professional Development requests from Staff and Directors
  • Develops and monitors individual Professional Development plans and budgets.
Preferred Skills & Qualifications

  • Bachelor's or Master's degree in business administration, management, or a related field.
  • Proven experience in a similar role, preferably within a fastpaced and dynamic environment.
  • Strong strategic thinking and analytical skills, with the ability to synthesize complex information and make sound recommendations.
  • Excellent communication skills, both written and verbal, with the ability to effectively interact with individuals at all levels of the organization.
  • Exceptional organizational and timemanagement abilities, with the capacity to handle multiple priorities and meet deadlines.
  • Demonstrated leadership skills and the ability to influence and build consensus among diverse teams.
  • Proficiency in project management tools and MS Office Suite.
  • High level of professionalism, integrity, and discretion when handling confidential information.

Position Details:


  • Hours: Fulltime
  • Compensation: Salary based on experience with paid vacation, paid sick leave, health, dental and EAP benefits
  • Travel required: Occasionally
  • Location: Ottawa office, hybrid work model.
