Vous serez en charge de diverses fonctions, y compris:

Assurer la coordination et le suivi des dossiers liés aux opérations et appuyer les gestionnaires dans les tâches concernant la planification d'agenda, la préparation des budgets et plans d'action, à la planification des activités opérationnelles et des projets divers, la réservation d'évènements, la planification des rencontres d'équipe, mandats spéciaux, etc.

Produire la correspondance pour l'exploitation et la Construction. (Mémos, lettres, avis aux locataires ou fournisseurs);
Voir au montage et à la transcription de divers rapports (Risk Check et FM Global);
Transcrire et assurer le suivi des rapports liés à l'Extermination;
Recevoir et transcrire les rapports d'incidents;
Traiter les rapports issus du système Unifier;
Assurer le suivi de toutes les certifications (BOMA, LEED etc );
Traiter les bons de commandes - production, signature et suivis;
Assurer la collaboration lors des incidents à la propriété avec le client;
Colliger l'information pour rapports environnementaux;
Mettre à jour et assurer le suivi des dossiers d'assurance liés aux incidents;
Recevoir les soumissions et préparer les grilles d'analyse appropriées;
Assurer le classement électronique des dossiers (zéro papier);
Documenter le cartable des dérogations;
Procéder aux demandes de soumission fournisseurs;
Collaborer à la préparation des devis et contrat pour les dépenses d'immobilisation (Capex);
Mettre à jour les dossiers d'assurances des fournisseurs;
Préparer les notes de frais;
Apporter le soutien administratif approprié à l'équipe Exploitation;
Collaborer à la saisie des budgets d'exploitation;
Assurer le soutien et la coordination du processus des courus.

Connaissances et aptitudes requises
Détenir un Diplôme d'études secondaires ou l'équivalent;
Un à trois ans d'expérience administrative;
Diplôme ou certificat en administration, un atout;
Excellente maitrise de la suite Microsoft Office (Word, Excel, etc.);
Connaissance du logiciel Yardi, un atout;
Français et anglais, parlés et écrits.


You will be responsible for various functions, including:

Ensure the coordination and follow-up of files related to operations and support managers in tasks concerning agenda planning, preparation of budgets and action plans, planning of operational activities and various projects, booking events, planning team meetings, special mandates, etc.

Produce correspondence for operation and construction. (Memos, letters, notices to tenants or suppliers);
Edit and transcribe of various reports (Risk Check and FM Global);
Transcribe and follow up on reports related to the Extermination;
Receive and transcribe incident reports;
Process reports from the Unite system;
Ensure the follow-up of all certifications (BOMA, LEED etc...);
Process purchase orders - production, signature and follow-ups;
Ensure cooperation during incidents at the property with the client;
Collect information for environmental reporting;
Update and follow up on insurance files related to incidents;
Receive bids and prepare appropriate analysis grids;
Ensure electronic filing of files (paperless);
Document the binder of derogations;
Solicit suppliers;
Collaborate in the preparation of quotes and contracts for capital expenditures (Capex);
Update suppliers' insurance records;
Prepare expense reports;
Provide appropriate administrative support to the Operations team;
Collaborate in the entry of operating budgets;
Ensure support and coordination of the running process.

Knowledge and skills required
Hold a High School Diploma or equivalent;
One to three years of administrative experience;
Diploma or certificate in administration, an asset;
Excellent command of the Microsoft Office suite (Word, Excel, etc.):

Knowledge of Yardi software is an asset;
Bilingual in French and English, spoken and written.
