Supra Academy exists to provide a player-centered, world-class, professional soccer training for players at all levels through exceptional programs, coaching, and facilities.

As a result of our growing membership, we are looking for a part-time Operations Coordinator to join our reputable and well known soccer academy.

As an Operations Coordinator, you will play a crucial role in ensuring the smooth and efficient day-to-day operations of our growing academy.

Your responsibilities will include coordinating administrative tasks, managing facilities and equipment, coordinating events and supporting the overall operations of our academy.

Job Accountabilities and Responsibilities:


  • Coordinate administrative tasks such as scheduling, record keeping, and document management to ensure the efficient functioning of the academy
  • Manage facilities, equipment and field rentals, including coordinating contracts with various Parks Boards, school boards and other providers
  • Assist with the organization and execution of player registration, program fees, tournament and camp fees, player onboarding and offboarding
  • Assist with annual scheduling including seasonal periods (spring and fall intake)
  • Help with tournament planning including registration, travel and accommodation logistics
  • Be the point person for all off field related inquiries and questions
  • Oversee administration of systems including TeamSnap, Google Apps, Trello, Setmore, Gsuite and provide recommendations for other systems or integrations to help streamline processes
  • Handle accounts payable and accounts receivable and work with our bookkeeper to assist as needed
  • Set agenda and take minutes for weekly admin/ops meetings and follow up on action items
  • Ensure compliance and necessary paperwork, association renewals and Criminal Record Checks are current, produce agreements for all contractors and employees and keep HR contracts and records up to date
  • Administer Supra residency/school program
  • Coordinate Social Media across various channels (Instagram, Facebook, TikTok)
  • Create content and develop a content calendar and regular posting schedule across all platforms
  • Basic graphic design skills or experience with design tools an asset
  • Promote Supra Academy's presence and brand in the local soccer community
  • Assist the Team Coordinators as required
  • Organize communitybuilding events (ie. MNT WNT games, jamborees, seasonal parties, fundraising social, in take festivals)
  • Assist and execute an academy wide communication plan and strategy including newsletters, announcements
  • Maintain and update the website as required
  • Attend soccerrelated events, conferences and represent Supra and act as a brand champion / Ambassador
  • Coordinate with suppliers, sponsors and vendors
  • Develop or recommend policies, procedures, process and systems as required or where efficiencies can be gained

Experience:


  • 2+ years in a fastpaced administrative or operational role
  • Strong knowledge of Google G Suite (docs, spreadsheets, forms, slides and meet), google administrator experience is an asset
  • Knowledge of soccer or how sports organizations operate is an asset
  • Hold a valid driver's license and have the ability to travel to onfield events occasionally

Compensation:

Hourly rate will commensurate with experience.

Remote, preference given to someone located in Greater Vancouver Regional district as in person meetings may be required from time to time.
