Position Overview:


Directly accountable to the Manager of Health Information & Quality, the Health Information Services Clerk serves as primary contact person for Health Information Services.

Provides clerical support in the area of health records, including the creation, preparation, dispatch and filing of a health record in accordance with departmental procedure.

Assembles, processes, files and retrieves health records in accordance with departmental procedure. Registers, updates and performs quantitative analysis on client demographic information in the ADT system. Maintains departmental stationery stores and supplies, ordering new stock in accordance with departmental procedure. Operates a personal computer and printer, typing and storing information into a hard disk.

Corresponds with the Medical Examiner, Vital Statistics, Funeral Homes and Physicians for all deceased patient/residents and ensures all informational needs are met.

Performs all duties in accordance with established health and safety regulations/guidelines, policies and procedures (e.g. utilizing personal, protective equipment as per safe work procedures). Notifies their Manager or their designates (i.e. supervisors) of all occurrences, injuries illnesses or safety and health concerns which are likely to harm themselves, their co-workers, or any others who enter the premises.


Experience:


  • Recent related experience required, specifically in a Health Information Services environment, with a working knowledge of current health information systems.
  • Experience in performing a wide variety of secretarial and clerical duties.
  • Experience in problemsolving.
  • Experience serving the information needs of the public, Government Agencies and other care providers and clients.

Education (Degree/Diploma/Certificate):


  • Successful completion of secondary school education according to provincial standards or equivalency.
  • Successful completion of:
  • A recognized medical terminology course and medical transcription required.
  • A Medical Office Assistant Program from a recognized College or the first year of a recognized Health Information Management Professional program required.

  • Demonstrates knowledge and support of:

  • Personal Health Information Act, Protection of Persons in Care Act, Workplace Hazardous Material Information System (WHMIS), Principles of Routine Practices (Universal Precautions) and other legislated acts.
  • Knowledge of the operation of personal computers and associated software; as well as a multifunction fax/copier machine.
  • Demonstrated effective verbal and written communication in the English language required.
  • Knowledge of medical terminology.
  • Knowledge of the organization and functions of Deer Lodge Centre.
  • Ability to handle a wide variety of clerical assignments within specified time guidelines.
  • Ability to function at a busy desk.
  • Ability to organize work and set priorities with minimum supervision.
  • Ability to communicate effectively, orally and in writing to staff, clients, families, outside agencies and the general public.
  • Ability to transcribe from voice recording machines.
  • Ability to type 60 wpm with no more than 5% error rate.
  • Excellent computer skills with demonstrated skills in the use of Microsoft Office products (Outlook, Word, Excel) and other computerized database systems.
  • Ability to distinguish colours.
  • Ability to present a positive image for Deer Lodge Centre programs.
  • Ability to maintain confidentiality in accordance with the Personal Health Information Act.
  • Courteous, flexible, tactful and reliable.

Physical Requirements:


  • May be required to work extended hours.
  • Prolonged physical activities include sitting, standing, bending and stretching.
