    SUMMARY

    The Lease Administrator plays a crucial role in extracting essential information from lease agreements, entering and maintaining lease data integrity in the database, and handling monthly rental payments for landlords and tenants.

    KEY DUTIES & RESPONSIBILITIES

    Lease Abstraction

  • Review and abstract key information from lease agreements
  • Enter and maintain lease agreement information in the database
  • Rent Payment Processing

  • Review and validate landlord invoices
  • Process monthly rent payments to landlords and clients
  • Prepare rent change reports and make necessary adjustments
  • Provide reports to managers and clients
  • Rent Collection & Billing

  • Process monthly rent billings and ad hoc charges
  • Prepare rent change reports and issue retroactive invoices
  • Collect monthly rental payments from tenants
  • Prepare A/R aging report and recommend actions for delinquent accounts
  • Additional Rent Review

  • Review landlord annual escalations
  • Review landlord year-end statements
  • Provide complete packages for managers' review
  • Lease Management

  • Provide non-legal lease interpretation
  • Track and review tenant insurance certificates
  • Interact with FM team on operational matters
  • Manage landlord/tenant relationships
  • Track and invoice landlords for tenant improvement allowances
  • Manage security deposits
  • Track critical dates and generate necessary reports
  • Provide due diligence on landlord/tenant change of ownership
  • Manage percentage rent and CPI
  • Perform other assigned duties
  • Additional Lease Management

  • Support CIBC Team Custom Banking Managers
  • Create Quarterly Top 25 Owners Report for CIBC Directors
  • KNOWLEDGE & SKILLS

  • Community college diploma in accounting, business administration, or law clerk studies
  • 3-5 years of commercial lease abstraction or property administration experience
  • Proficiency in interpreting and abstracting lease information
  • Strong attention to detail and accuracy in processing data
  • Proficient in MS Excel and quick to learn new management systems
  • Licenses and/or Professional Accreditation

  • Real Property Administrator Designation is an asset
  • Facility Management Administrator Designation is an asset
  • Bilingual proficiency is an asset
