The Centre for Education in Mathematics & Computing (CEMC) is Canada's largest and most recognized outreach organization for promoting and creating activities and materials in mathematics and computer science and is housed within the Faculty of Mathematics at the University of Waterloo.

As such, the CEMC is the first point of contact at Waterloo for a significant percentage of our future undergraduate and graduate students and their parents.

Through Outreach activities the CEMC has perhaps the largest set of external points of contact amongst any unit on campus.


This position is responsible for supporting the Operations Manager and senior leadership with the financial and accounting operations of the CEMC.

These include, but are not limited to, financial analysis and reporting, reconciliations, transaction processing and support for faculty and staff in the CEMC.

The incumbent will also serve as the primary point of contact for central Finance at the University.


Responsibilities:

Financial Analysis and Reporting

  • Prepares reports of current and projected financial positions, which determines impact on future CEMC activities
  • Prepares cash flow analysis for Operations Manager review
  • Analyzes expenses on per unit costs, and differentiates between fixed and variable expenses to provide recommendations on activity
  • Identifies and recommends costsaving measures
  • Identifies expense categories that need management attention, and makes recommendations for process improvements and training
  • Reviews monthly accounting reports and corrects discrepancies and errors
  • Assists senior leadership to incorporate findings from analysis into future planning and the annual CEMC budget
Revenue Reconciliation and Projection

  • Reviews and reconciles revenues including credit card reports
  • Forecasts future revenue flows from trust and endowments
  • Performs cost/benefit analyses of proposed activities to present to senior leadership
  • Projects multiple scenarios of future revenue flows
  • Exercises judgment and solves problems related to revenue management
  • Allocates trust and endowment expenditures according to Terms of Reference
Accounting and financial transaction processing

  • Processes payments and other reimbursements for CEMC faculty and staff (expenses, travel, requisitions, etc.)
  • Processes payroll payments for parttime/casual/coop employees
  • Ensures accuracy of all financial transactions, providing training to faculty and staff as needed on expense management
  • Manages expenses related to P-Cards
Administrative support for staff and faculty

  • Coordinates purchase of supplies and equipment for the CEMC
  • Guides faculty and staff in the use of various financial systems such as expense reimbursement programs, as necessary
  • Processes and reconciles all financial and payroll activities related to events, contests, school visits, marketing and miscellaneous CEMC activities
  • Processes payroll and HR hiring logistics to support the MMT program
  • Various duties as assigned by the Operations Manager

Qualifications:

  • College diploma or university degree, preferably in a businessrelated discipline or equivalent education and experience
  • 3 years of related financial experience with a solid understanding of accounting principles and practices, preferably in an academic environment
  • Experience working independently and utilizing strong time management skills
  • Experience with financial reporting, analysis, budgeting, and forecasting
  • Experience with Microsoft Excel, including pivot tables, lookups, macros, etc.
  • Experience preparing and interpreting expense and revenue reports
  • Sound knowledge of accounting and financial principles
  • Strong decisionmaking and critical thinking skills, and maturity of judgement
  • Demonstrated ability to interpret policies
  • Ability to interpret Terms of Reference for donor agreements
  • Ability to interpret financial statements and make financial recommendations
  • Strong clientservice orientation
  • Excellent interpersonal skills and ability to interact professionally and effectively
  • Ability to work accurately while managing a high workload and multiple demands on time
  • Excellent organizational and time management skills
  • Demonstrated ability to handle confidential information with discretion and tact
  • Advanced English language skills both oral and written. French language skills would be an asset
